The Staff Pad has partnered with a leading healthcare organization in Manchester, TN, to recruit an experienced Clinic Billing Office Site Supervisor .<\/span><\/span>
<\/p>

This on -site leadership role is responsible for the day -to -day supervision of Clinic Business Office staff and revenue cycle operations. Reporting directly to the Clinic Business Office Director, the Site Supervisor ensures billing, collections, and follow -up activities are completed in accordance with established service level agreements (SLAs), productivity standards, and quality benchmarks.<\/span><\/span>

What You’ll Do<\/span><\/span>
<\/p>

The Site Supervisor serves as the primary operational leader for the on -site billing team, overseeing staff performance, work quality, process improvement initiatives, and system optimization while supporting compliance with payer requirements and organizational policies.<\/span><\/span>

Daily Staff Supervision & Work Queue Management<\/span><\/span>
<\/p>

Supervise Clinic Business Office staff and daily revenue cycle operations<\/span><\/span>
<\/li>
Manage work queues, staffing, and workloads to achieve productivity and SLA goals<\/span><\/span>
<\/li>
Monitor workflow and account performance, resolving barriers and escalating at -risk accounts<\/span><\/span>
<\/li>
Provide on -floor leadership and coordinate staffing and coverage with the Clinic Business Office Director<\/span><\/span>
<\/li>
Lead team communication on priorities, payer updates, and performance expectations<\/span><\/span>
<\/li><\/ul>
SLA Compliance<\/span><\/span>
<\/p>
- Maintain knowledge of assigned work queue SLAs, timelines, and documentation requirements<\/span><\/span>
  <\/li>
- Track staff SLA performance and address compliance gaps<\/span><\/span>
  <\/li>
- Escalate accounts approaching timely filing or appeal deadlines to prevent revenue loss<\/span><\/span>
  <\/li>
- Report SLA performance, trends, and missed benchmarks to the Clinic Business Office Director<\/span><\/span>
  <\/li>
- Support the development and revision of SLAs based on payer, operational, or system changes<\/span><\/span>
  <\/li><\/ul>
  Quality Review & Specialist Work Audits<\/span><\/span>
  <\/p>
  - Conduct quality reviews and account audits to ensure documentation, coding, adjustment, and payer compliance<\/span><\/span>
    <\/li>
  - Identify quality trends, recommend corrective actions, and collaborate with HIM/Coding to resolve systemic issues<\/span><\/span>
    <\/li>
  - Provide quality coaching, document performance feedback, and reinforce compliance with quality standards<\/span><\/span>
    <\/li><\/ul>
    Process Improvement & System Optimization<\/span><\/span>
    <\/p>
    - Evaluate billing workflows and denial trends to identify process improvement opportunities<\/span><\/span>
      <\/li>
    - Collaborate on system enhancements, including eCW, claim scrubber, and clearinghouse workflows<\/span><\/span>
      <\/li>
    - Document process changes, support payer performance reviews, and optimize system utilization<\/span><\/span>
      <\/li><\/ul>
      Performance Management & Disciplinary Escalation<\/span><\/span>
      <\/p>
      - Monitor staff productivity, quality, and performance against established standards while maintaining performance records<\/span><\/span>
        <\/li>
      - Provide coaching and documented feedback to improve performance and support employee development<\/span><\/span>
        <\/li>
      - Conduct performance evaluations and recognize high performance<\/span><\/span>
        <\/li>
      - Initiate and document disciplinary actions in partnership with HR and leadership<\/span><\/span>
        <\/li><\/ul>
        Staff Training, Onboarding & Development<\/span><\/span>
        <\/p>
        Lead onboarding and training for new staff while identifying individual and team development needs through performance and quality reviews<\/span><\/span>
        <\/li>
        Develop training programs, maintain training materials and SOPs, and serve as the primary resource for payer, billing, and system questions<\/span><\/span>
        <\/li><\/ul>
        Reporting, Communication & Director Support<\/span><\/span>
        <\/p>
        Prepare operational reports on productivity, SLA performance, quality, and audit metrics<\/span><\/span>
        <\/li>
        Serve as the primary liaison between the on -site billing team and the Clinic Business Office Director, communicating operational, staffing, payer, and system issues<\/span><\/span>
        <\/li>
        Participate in leadership meetings, payer calls, and cross -functional initiatives<\/span><\/span>
        <\/li>
        Support special projects, audits, and other assigned initiatives<\/span><\/span>
        <\/li><\/ul>
        Additional Responsibilities<\/span><\/span>
        <\/p>
        Occasional Travel to clinical or administrative locations<\/span><\/span>
        <\/span><\/li>
        Maintain professionalism during conflict resolution, performance discussions payer escalations<\/span><\/span>
        <\/span><\/li>
        Maintain confidentiality per HIPAA, billing regulations and organizational policies<\/span><\/span>
        <\/span><\/li>
        Maintain ethical billing practices and accurate documentation per billing standards<\/span><\/span>
        <\/span><\/li><\/ul>
        What We Are Looking For<\/span><\/span>
        <\/p>
        This role requires strong leadership skills and expertise in clinic revenue cycle operations, eClinicalWorks (eCW), Waystar, and healthcare billing best practices.<\/span><\/span>
        <\/p>
        Education<\/span><\/span>
        <\/div>
        Associate's or Bachelor's degree in Healthcare Administration, Business Administration, Health Information Management, or related field preferred; equivalent experience accepted<\/span><\/span>
        <\/li>
        Revenue cycle certification (CRCR, RH -CBS, CPB, or equivalent) preferred<\/span><\/span>
        <\/li><\/ul>
        Required Experience<\/span><\/span>
        <\/p>
        3–5 years of healthcare revenue cycle experience, preferably in clinic or physician practice billing<\/span><\/span>
        <\/li>
        Supervisory experience leading billing or collections staff<\/span><\/span>
        <\/li>
        Proficiency with eClinicalWorks (eCW) or comparable EMR/practice management system<\/span><\/span>
        <\/li>
        Experience with Waystar or a similar clearinghouse platform<\/span><\/span>
        <\/li>
        Knowledge of 835 ERA/EOB remittance processing, including CARC and RARC codes<\/span><\/span>
        <\/li>
        Experience with CMS -1500 billing, CPT, ICD -10 -CM, modifiers, and Place of Service coding<\/span><\/span>
        <\/li>
        Experience managing work queues, productivity standards, and SLAs<\/span><\/span>
        <\/li><\/ul>
        Preferred Experience<\/span><\/span>
        <\/p>
        Rural Health Clinic (RHC) billing and encounter -based reimbursement (AIR)<\/span><\/span>
        <\/li>
        Familiarity with TennCare MCO billing requirements<\/span><\/span>
        <\/li>
        Experience with denial management, appeals, and payer escalations<\/span><\/span>
        <\/li>
        Process improvement or revenue cycle optimization experience<\/span><\/span>
