Kansas City Orthopedic Alliance (KCOA) is the largest, independently owned orthopedic specialty practice in the Kansas City metro area. We have over 50 medical providers practicing out of seven locations. Each team focuses on the importance of customer service, communication, and caring for patients.

We are seeking an experienced Clinic Manager to join our team. The Clinic Manager is responsible for the overall leadership, performance, and daily operations of a high-volume private practice orthopedic clinic serving 300–500 patient visits per day. This role partners closely with physician owners and executive leadership to drive operational efficiency, maximize profitability, and deliver an exceptional patient experience in a fast-paced, patient-centered environment.

The Clinic Manager is accountable for clinic performance across operations, staffing, patient satisfaction, and financial outcomes, while ensuring alignment with the practice’s strategic growth goals.

Primary Duties & Responsibilities:

Operational Leadership

  • Oversee all aspects of daily clinic operations to ensure efficient, high-quality care delivery in a high-volume setting.
  • Optimize patient flow, scheduling templates, and provider utilization to support 300–500 daily visits.
  • Implement and maintain streamlined workflows to reduce wait times and increase throughput.
  • Ensure clinic readiness, including staffing levels, equipment, and supplies.

Physician Partnership

  • Work closely with physician partners to align clinic operations with provider preferences and productivity goals.
  • Support surgeons and providers by optimizing clinic efficiency, reducing administrative burden, and improving patient access.
  • Act as a key liaison between physicians and administrative teams.

Financial Performance & Practice Growth

  • Manage clinic P&L with a strong focus on revenue growth, cost containment, and operational efficiency.
  • Monitor and analyze KPIs such as visit volume, provider productivity, reimbursement trends, and margin performance.
  • Collaborate with ownership to identify and implement growth opportunities.
  • Ensure front-end and back-end revenue cycle coordination, including charge capture, scheduling accuracy, and eligibility processes.

Team Leadership & Accountability

  • Lead a large multidisciplinary staff, including front office, medical assistants, imaging, therapy, and scheduling teams.
  • Coordinate leadership efforts with role-specific team leaders.
  • Build a high-performance culture focused on accountability, efficiency, and patient service.
  • Manage hiring, onboarding, training, and performance management processes.
  • Ensure staffing models align with clinic volume and financial targets.

Patient Experience & Retention

  • Champion a high-quality, concierge-level patient experience consistent with private practice standards.
  • Monitor patient satisfaction metrics and implement improvement initiatives.
  • Resolve patient concerns quickly and professionally to maintain practice reputation and retention.

Compliance & Risk Management

  • Ensure compliance with all regulatory requirements (HIPAA, OSHA, payer guidelines).
  • Maintain clinic policies, procedures, and safety standards.
  • Partner with leadership on risk management and quality assurance initiatives.

Systems & Process Improvement

  • Leverage EMR and practice management systems to improve reporting, efficiency, and decision-making.
  • Identify operational inefficiencies and lead continuous improvement initiatives.
  • Support implementation of new technologies, workflows, and service offerings

Education & Experience

  • Bachelor’s degree in healthcare administration, Business, or related field preferred.
  • 5+ years of healthcare management experience, preferably in orthopedic or surgical private practice.
  • Demonstrated success managing high-volume clinic operations and large teams.
