Position Summary: Provides clinical and administrative support to the resident care team, assists with care and service coordination functions, and ensures that the resident care team has ample support to fulfill their duties.
Essential Functions:
- Ensures the Resident Care Department has necessary office and clinical supplies for daily operations
- Triages inbound phone calls and office traffic to the appropriate staff members
- Develops staffing schedule in conjunction with Nursing Leadership and inputs into business systems
- Assembles resident records for new move-ins and maintains on-going compliance
- Schedules care staff orientation and training programs and assists with preparing training documents and presentations
- Prints staff assignment sheets
- Schedules meetings, including staff and family meetings (vendors and community care partners)
- Assists with scheduling and coordinating resident appointments
- Manages supplies including ordering for residents and Resident Care department
- Assists in interviewing and hiring process for care staff: reviews applications, schedules phone screens, coordinates interview, sets up shadowing, obtains references, assembles paperwork and completes Employee Status Change Form, etc.
- Assists with emergency pendant monitoring and functioning daily
- Supports payroll with the daily reviewing of timesheets and entering missed punch forms/vacation requests
- Supports management by consolidating time and attendance data
- Other duties as assigned and/or needed
Education/Experience/Licensure/Requirements:
- High School Diploma or Equivalent required
- Experience working in a medical office or clinical setting preferred
- Medical Assistant, Nursing assistant or Home Health Aide certification preferred
- Experience working with seniors
- Ability to maintain positive working relationships with residents, their families, peers and other staff members
- Excellent computer skills required with comprehensive and solid knowledge of MS Office and familiarity with electronic health records
- Highly organized with efficient time management
- Exceptional communication and customer service skill
- Must be able to effectively communicate in English in all formats
- Able to perform tasks which may be physically demanding such as pushing, bending and lifting
- Be effective in handling problems in the workplace, including anticipating, preventing, identifying, and solving problems as necessary
- Work well in stressful, high-pressure situations and be able to maintain composure and objectivity
- Be effective at listening to, understanding, and clarifying the concerns and issues raised by residents and guests
- Able to maintain positive working relationships with residents, their families, peers and other staff members
- Must be authorized to legally work in the United States
