Medical Records Coordinator


Job Summary


The Medical Records Coordinator is responsible for requesting, receiving, reviewing, and managing medical records and related provider responses. This role ensures accurate data entry, timely follow-up, and adherence to departmental turnaround goals while supporting clinical review processes and continuous process improvement.

Responsibilities
  • Request medical records and responses from providers via fax, secure email, or remote electronic medical record systems.
  • Validate provider contact information and update the department repository accurately.
  • Follow up on medical record and response requests via phone or email and take appropriate action.
  • Manage incoming medical records and responses accurately and in a timely manner.
  • Review received medical records for completeness and content before submitting for clinical review.
  • Follow up with providers when medical records are incomplete.
  • Consult with the lead or RN as needed regarding requests and request status.
  • Prioritize tasks and assignments to meet turnaround time goals.
  • Research provider and member information using internal applications, including claims, primary care provider information, and plan type.
  • Contribute to a positive team environment and collaborate effectively with colleagues.
  • Provide input to support continuous process improvement initiatives.
  • Enter accurate data into department databases to support reliable reporting.
  • Work under limited to moderate supervision on routine tasks.
  • Achieve day-to-day objectives that support overall department goals.

Requirements
  • Experience working with medical records, health information management, or a related healthcare administrative role.
  • Familiarity with fax, secure email, and electronic medical record systems.
  • Ability to review and verify medical documentation for accuracy and completeness.
  • Strong attention to detail and organizational skills.
  • Ability to prioritize multiple tasks to meet deadlines and turnaround requirements.
  • Comfort working with internal databases and applications for research and data entry.
  • Ability to work with limited to moderate supervision and follow established procedures.
  • Effective verbal and written communication skills for interacting with providers and internal staff.
