    Job Description:

    Coordinates the clinical research activities associated with the Brooks/PHHP Research Collaboration, including:

    • Oversee the budget creation and allocation of multi-million-dollar grants.
    • Facilitate the preparation, negotiation, and management of study contracts in coordination with Brooks team members and UF contracts & grants, PHHP’s research administration core, and PHHP/Physical Therapy (PT) leadership and administrative staff.
    • Coordinate record keeping for Brooks/PHHP Research Collaboration studies, as well as multi-center studies involving the Collaboration.
    • Contribute to the development of research funding proposals including protocol development, assessment of feasibility, and negotiation of funding arrangements.
    • Work with Principal Investigators to develop and analyze clinical research activities for research participants and contribute to methods and procedures as needed.
    • Educate and mentor research team members and other coordinators.

    Contributes to reporting and ensures regulatory compliance, including:

    • Participate in the promotion of Research Participant protections within Clinical Research areas.
    • Provide administrative regulatory support for research projects that fall under the umbrella of the Brooks/PHHP Research Collaboration, including scheduling appointments and document preparation for local and federal regulatory approvals (i.e., IRB), and maintaining compliance with these regulations.
    • Monitor and/or audit studies associated with the Brooks/PHHP Research Collaboration.

     

    Provides administrative support to the Brooks/PHHP Research Collaboration, including:

    • Participate in the strategic planning for assigned areas and assist the Brooks/PHHP Collaboration Director with implementation.
    • Assist as needed with planning and implementation of Brooks/PHHP Collaboration events, such as workshops, seminars, retreats, trainee luncheons, ensuring that all pertinent UF and State rules and regulations are adhered to (such as alcohol policies, maintenance requirements, etc.) as directed by the Brooks/PHHP Collaboration Director and/or Assistant Director of Administrative Services.
    • Assist in recruiting and organizing speakers, and arrange travel and meeting itineraries for speakers.
    • Serve as point of contact for all guests, including visiting faculty, alumni, representatives from industry, and international visitors.
    • Act as point of contact for Brooks/PHHP Collaboration investigators, trainees, and clinicians.
    • Assist in the preparation of applications and support materials for Brooks/PHHP Research Collaboration grants.
    • Collect data to enable and assist in reporting Brooks/PHHP Research Collaboration activities/accomplishments, including assisting in the preparation of annual or ad hoc progress reports.
    • Responsibilities may require the individual to be flexible to assist with events not held during traditional work hours and able to commute to Jacksonville as needed.

    Develops effective strategies for building relationships between the Collaboration and internal and external research, scientific, and educational organizations, and groups. Activities include:

    • Attend national/international meetings involving Brooks/PHHP Research Collaboration research and/or initiatives.
    • Facilitate and attend Seminar series, Symposia, and Retreats.
    • In conjunction with the Department and College Advancement team, formulate plans to fundraise additional funding via networking with private corporations on behalf of the Brooks/PHHP Research Collaboration.
    • Enhance the visibility of the Collaboration by promoting research collaborations, impacts, including traveling to national conferences, other universities, and locations, as needed.
    • Represent the Brooks/PHHP Research Collaboration on state, university, and college committees as requested by the Brooks/PHHP Collaboration Director.
    • Serve as a liaison to multiple internal and external entities to both UF and Brooks.

    Proposes and creates communication materials, including:

    • Maintain communication list servs/email lists and distribute Brooks/PHHP Collaboration announcements.
    • Assist departmental and college marketing teams with development and promotion of content on social media channels and website.
    • Develop and maintain a list of internal and external relations through social medica communications, newsletters, brochures, and other promotional materials.
    • Observe marketing/communications trends that might have an impact and make recommendations to enhance the image of the Brooks/PHHP Collaboration.
    • Provide communications and outreach support for Brooks/PHHP Collaboration faculty, staff, graduate students, and other collaborators.
    • May serve as a liaison with other programs, centers, offices, or external vendors to accomplish Brooks/PHHP Collaboration objectives.

    Contributes to budgetary oversight and planning through fiscal responsibilities such as:

    • Prepare study budgets, monitor seed funding allocations in coordination with the Assistant Director of Administrative Services, coordinate with Brooks financial team members to ensure flow of information across funding sources.
    • Serve as the UF point of contact for billing related to research subjects, research participant payments, and travel arrangements for research participants.
    • Assist in processing financial documents related to the Brooks/PHHP Collaboration such as receipts, invoices, and expense reimbursements.
    • Assist with monitoring grants and/or accounts with complex budgets that must be carefully monitored and utilized.
    Expected Salary:

    $70,000 - $83,000, commensurate with education and experience 

    Required Qualifications:

    Bachelor's degree in an appropriate area and three years of relevant experience; or an equivalent combination of education and experience.

    Preferred:
    • Master’s degree or higher, in an appropriate area that demonstrates experience in academic research, datasets, and outcomes.
    • Experience with research or education peer review process and dissemination such as development and presentation of abstracts, posters, oral presentations, or publications.
    • Demonstrated experience working across departments to advance goals related to education and training.
      Experience working with academic health research and education environments such as program coordination, addressing the needs of students, trainees, clinical and research faculty.
    • Demonstrated track record in strong writing skills, particularly scientific writing and writing for varied audiences such as academia and the public.
    • Experience working in a multi-departmental academic health and research institution involving multidisciplinary team members.
    • Strong written and oral communication skills, including experience in social media outreach.
    • Strong organizational, time-management skills and the ability to handle multiple projects at the same time.
    • Ability to interact with the public in a positive and effective manner to establish and maintain effective working relationships.
    • Skilled in planning a variety of programs for target audiences.
    • Knowledge of records and financial management principles.
    • Skilled in the use of standard office equipment and computer software applications.
    • Knowledge of contract negotiation and project management.
    • Knowledge of methods of compiling, organizing, and analyzing contracts and protocols.
    • Ability to keep excellent records of research findings on subjects.
    • Ability to write standardized operating procedures.
    • Proficient in Microsoft Office and standard computer software, particularly Excel
    • Proficient in setting up spreadsheets, data bases, electronic data collection tools
    • Experience in human research, including advanced degrees in relevant field
    • Capable of independently identifying Brooks/PHHP Collaboration needs and developing recommended solutions.
    • Experience and skills in public relations.
    • Experience with web design
    • Strong writing skills
    • Able to prioritize assignments based on urgency or deadlines and work cooperatively with other Departments and University staff, as well as personnel at other sites to ensure that all assignments are completed in a timely manner and meet or exceed the standards for quality and performance as established by the supervisors.
    • Experience in an academic institution.
    • Experience working with collaborations
    Special Instructions to Applicants:

    Normal work schedule is Monday - Friday, 8 a.m.- 5 p.m., or 40 hours weekly. Additional hours and flexibility may be required to accomplish time-sensitive tasks, including grant deadlines and events as needed. Must be able to commute to Jacksonville as needed
