Overview

The Clinical Services Coordinator I provides support and coordination to clinical program staff to include but not limited to clinicians, physicians, and nurses. This staff member is responsible for coordinating a variety of multifaceted departmental or programmatic functions. The incumbent also provides management with support; helps with training; provides guidance to others; makes recommendations on workflow systems and standard operating procedures; solves problems; and recommends process improvement initiatives. 

Responsibilities

  • Provide administrative support to physicians and nurse practitioners in CASSI, including, but not limited to completing referrals, liaising with John’s Hopkins Hospital (JHH) to schedule testing, and with appropriate community-based labs.
  • Retrieve phone messages from the refill request phone line, manage Mychart requests and facilitate the refill process using Epic to request refills from the appropriate medical provider daily.
  • Coordinate with CASSI care center, physicians and nursing staff to develop discharge plans, letters, and correspondence with families in transferring care.
  • Coordinate schedules for visiting medical students, research staff, and other trainees that will be completing observations at CASSI. Provide direct administrative support to the CASSI resident programs to include preparations for resident visits, onboarding psychiatry personnel, and the scheduling and tracking of training events.
  • Screen, channel and prioritize clinically related calls and correspondence according to CASSI Clinic protocols and clinician requirements. Refer patient and family communications as appropriate to other KKI professionals including Nursing, Social Work and therapeutic disciplines.
  • Make follow up calls to patients and families and document per Clinic, HIM and clinician protocols.
  • Triage requests for additional information to appropriate nursing, medical, care center staff or others as appropriate.
  • Update psychoeducation materials on co-occurring disorders for patients on behalf of CASSI physicians, assemble information on autism research opportunities within KKI and share such with families who contact CASSI or who visit the CASSI OP clinic and Achievements.
  • Track requested labs and MRI requests, communicating relevant information to providers, and care center staff on a regular basis.
  • Attend and actively participate in CASSI clinical staff meetings. Serve as back up to attending MD monthly meetings by taking notes and ordering food. Meet regularly with Medical Director CASSI clinical director to ensure full coordination of all patient related needs within the CASSI program. 
  • Liaise with research staff members, and transfer data obtained through patients to the data team following appropriate JHH Internal Review Board protocols.
  • Qualifications

    • High school diploma, GED or equivalent required.
    • Bachelor’s degree in human services related field or healthcare administration

     

    EXPERIENCE:

    • A minimum of two (2) years’ experience of administrative support is required.
    • Experience working in a medical office/clinical setting is preferred.
    • Previous experience working with children with autism spectrum disorders is preferred.
