Closing Coordinator (Administrative Support)

LHH is seeking a Closing Coordinator for a 3-month contract opportunity in Visalia, CA. This role is ideal for an organized administrative professional who enjoys working in a fast-paced environment and supporting multiple teams throughout the sales and closing process.

The Closing Coordinator will provide administrative support to the closing team by opening escrows, processing sales documentation, tracking contract milestones, coordinating with internal departments and external partners, and maintaining accurate records. This position is heavily administrative in nature and requires strong attention to detail, organization, and communication skills. Previous exposure to real estate, escrow, title, mortgage, or closing processes is preferred but not required.

Location: Visalia, CA (Onsite)

Employment Type: Contract | 3-Month Assignment

Pay Rate: $16.90 per hour

Day-to-Day Responsibilities

  • Open and process escrows for newly ratified sales contracts.
  • Review and verify contracts and supporting documentation for completeness and accuracy.
  • Enter, update, and maintain information within internal systems and databases.
  • Track and process buyer deposits and related documentation.
  • Coordinate with internal departments regarding building completion milestones and final inspections.
  • Monitor lot and solar-related updates and ensure records are current.
  • Schedule and coordinate closing activities with internal teams and external partners.
  • Prepare, scan, upload, and maintain electronic and paper files.
  • Update closing calendars and maintain accurate transaction tracking reports.
  • Follow up on outstanding documentation and closing requirements.
  • Respond to inquiries from internal teams, title companies, lenders, escrow personnel, and customers.
  • Support reporting needs and assist with administrative projects as assigned.

Key Responsibilities

  • Provide administrative support throughout the contract-to-close process.
  • Maintain accurate records and documentation for active transactions.
  • Ensure contracts, amendments, and closing documents are properly processed and filed.
  • Assist with weekly and monthly reporting activities.
  • Coordinate communication between sales, construction, escrow, title, and lending partners.
  • Track transaction timelines and escalate issues that could impact closing schedules.
  • Support process improvements and maintain compliance with company procedures.
  • Perform general office and clerical duties to support the closing department.

Qualifications

  • High School Diploma or GED required.
  • Previous administrative, coordinator, customer service, or office support experience required.
  • Experience in real estate, escrow, mortgage, title, construction, or closing environments is preferred.
  • Strong data entry and document management skills.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Experience with JD Edwards or similar ERP systems is a plus.
  • Notary Public certification is a plus but not required.

Pay Details: $16.90 per hour
