Location
Our campus is located at 1601 Maple Street, Carrollton, GA 30118.
Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.

Job Summary
The Collaborative Programs Specialist serves in a pivotal, operations-critical role supporting the planning, coordination, and continuous improvement of multi-institutional academic collaborations (e.g., shared course offerings, cross-listed programs, and online consortia). This role partners with faculty leads, instructional designers, institutional research/data teams, and external stakeholders to align curriculum and assessment artifacts, and maintain governance documentation. The Specialist exercises independent judgment to keep complex, high-stakes workflows moving, anticipate and mitigate risks, and translate academic and policy decisions into clear, actionable documentation that directly supports institutional accreditation, funding, and student progression. This role is essential to sustaining collaborative academic capacity across institutions and avoiding disruptions in program delivery, accreditation standing, and student completion pathways.
Responsibilities

Lead day-to-day operations for collaborative courses and programs across participating institutions (calendars, rosters, cross-listing, and faculty assignments), ensuring continuity of instruction and compliance with shared agreements. Serve as the primary point of contact for partner campuses, faculty leads, and department chairs; independently resolve routine and moderately complex issues and escalate high-impact risks with recommended options. Schedule and facilitate Curriculum Leadership Committee (CLC) and related governance meetings; prepare agendas, take minutes, track action items, and monitor progress to closure. Maintain an accurate stakeholder map and distribution lists; ensure timely, consistent communication of decisions, timelines, and deliverables to all affected units. Work closely with the Collaborative Programs Manager for instructional notifications, faculty approval processes, and website auditing. Maintain content integrity and uphold brand standards across external-facing websites by performing routine audits of live site content with a user experience lens for institutional stakeholders. Manage and ticketing assignments by collaborating closely with marketing and web development teams to implement content enhancements and necessary updates.

Serve as the primary organizer and logistical lead for the annual eMajor Academic Advisory Board meeting, held in person. This includes end-to-end planning and execution: coordinating dates and locations, developing agendas in collaboration with academic leadership, managing invitations and travel logistics, preparing materials, and ensuring seamless on-site facilitation and follow-up. In addition, plan and manage the biennial virtual Community Advisory Board (CAB) meeting, overseeing platform setup, participant communications, scheduling, facilitation support, documentation of outcomes, and post-meeting deliverables. This role ensures advisory boards are wellprepared, professionally executed, and positioned to provide meaningful guidance that informs academic strategy, program quality, and continuous improvement.

Manage the online publication and organization of articles for the Online Journal of Distance Learning Administration (OJDLA), including posting finalized articles to the website, organizing content by volume and issue, verifying author information and publication details, and ensuring accuracy and consistency across published materials. Responsibilities also include assigning and maintaining Digital Identifier of an Object (DOI) records through Crossref to support citation, indexing, and discoverability.

Serve as part of a larger team to conduct outreach to at-risk students across multiple programs and institutions. Provide a concierge-level service to students and other community members inquiring about programs, following through to ensure all needs/questions are addressed in a highly professional and supportive manner. Bachelors Degree
Required Experience
2-4 years experience in higher education operations, program coordination, accreditation support, or instructional support. Demonstrated proficiency with LMS environments (e.g., D2L/Brightspace, Canvas, or Blackboard), SharePoint/Teams, and Microsoft 365 (Excel, PowerPoint, Word). Strong writing, meeting facilitation, and documentation skills.

Masters degree in Higher Education, Instructional Design, Data Analytics, Public Administration, or related discipline. Experience supporting multi-campus/consortial programs (e.g., crossinstitution governance, cross-listing, common rubrics). Familiarity with accreditation standards (e.g., ACEN, SACSCOC) and outcomes assessment practices. Intermediate data skills (building term-over-term trend reports, basic data validation, and dashboarding in Excel).
Proposed Salary
$58,240 Annually. Paid on a Monthly Basis.
