Commercial Assistant Property Manager(Part-Time)
Contract: 5-6 Months
Pay Rate: $25.00-$28.00 per hour (DOE)
Schedule: Monday-Friday, 9:30 a.m. to 2:30 p.m. (up to 25 hours per week)
Location: El Segundo, CA
Position Summary
We are seeking a detail-oriented and organized Commercial Assistant Property Administrator to provide administrative and operational support for a portfolio of retail shopping centers. This part-time contract role is ideal for a professional with commercial property management experience who thrives in a fast-paced environment and enjoys supporting property operations, tenant relations, and vendor coordination.
Key Responsibilities
- Provide administrative support to the Property Manager for an assigned portfolio of retail properties.
- Serve as a point of contact for tenant communications, including correspondence, notices, and service requests.
- Coordinate maintenance requests, track progress, and communicate with vendors to ensure timely completion.
- Maintain organized property files, lease documents, and electronic records.
- Assist with the preparation of CAM reconciliations, operating budgets, and financial reports.
- Support accounts payable and accounts receivable processes, including invoice tracking and follow-up.
- Coordinate vendor contracts, insurance certificates, and compliance documentation.
- Assist in managing service contracts, including landscaping, janitorial, security, and other property vendors.
- Monitor rent collections and prepare tenant delinquency reports.
- Prepare monthly property reports and ownership updates.
- Coordinate on-site operational needs, including signage updates, property access, and vendor scheduling.
- Maintain key logs, vendor directories, and emergency contact information.
Qualifications
- Minimum of 2 years of administrative experience; commercial property management or real estate experience is preferred.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and meet deadlines in a dynamic environment.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office, including Excel, Word, and Outlook.
- Experience with property management software such as Yardi, AppFolio, MRI, or similar platforms is preferred.
Preferred Qualifications
- Experience supporting retail or commercial property management.
- Knowledge of CAM reconciliations, NNN leases, and tenant billing processes.
- Basic understanding of commercial lease language and property operations.
