Commercial Property Administrator
SVN | Real Estate Associates is seeking an experienced Commercial Property Administrator to join our Property Management team in Durham, North Carolina.
SVN | Real Estate Associates is a full-service real estate firm providing residential and commercial property management, commercial brokerage, leasing, and other real estate services throughout the Triangle.
The Commercial Property Administrator works directly with our Commercial Property Managers and commercial tenants to provide administrative support, maintain accurate property and tenant records, coordinate routine tenant matters, and ensure required follow-up is completed.
This is a highly organized position. Our Commercial Property Managers oversee multiple properties and tenant relationships, and the Commercial Property Administrator helps keep the administrative side of those relationships organized, documented, and moving forward.
Your Role as a Commercial Property Administrator with SVN | Real Estate Associates
The Commercial Property Administrator serves as an important point of contact for tenants while providing day to day administrative support to the Commercial Property Managers.
This position does not manage a commercial property portfolio. Instead, the Administrator supports the Property Managers by maintaining records, tracking open items, coordinating routine tenant matters, preparing correspondence, and making sure information and documentation are where they need to be.
Responsibilities include:
- Communicating professionally with commercial tenants regarding routine property and administrative matters
- Receiving tenant questions and requests, documenting them appropriately, and directing issues to the Commercial Property Manager or other appropriate team member
- Maintaining accurate tenant, lease, property, and communication records in Appfolio
- Maintaining tenant files and tracking required documents, including Certificates of Insurance and other lease related documentation
- Assisting with commercial tenant move-in and move-out administration
- Preparing routine tenant correspondence, notices, and other documentation at the direction of the Commercial Property Manager
- Tracking open items, deadlines, required tenant documentation, and follow up
- Coordinating keys, access, and other routine tenant needs
- Assisting with scheduling and administrative vendor follow up at the direction of the Commercial Property Manager
- Routing invoices and supporting documentation through the appropriate internal process
- Assisting Commercial Property Managers with property and tenant related administrative projects
- Maintaining organized electronic records so property information and communication are readily available to the Property Management team
- Following established company procedures and escalating matters requiring Property Manager review or direction
Requirements for Commercial Property Administrator
We are looking for someone who is exceptionally organized, comfortable managing a high volume of information, and able to keep multiple responsibilities moving at the same time.
This position requires more than the ability to complete individual assignments. The right person will recognize outstanding items, maintain accurate records, follow up without repeated reminders, and understand the importance of documenting information so that the Commercial Property Manager and other team members can quickly determine the status of an issue.
This is not an entry level office position.
You will need:
- A minimum of 3 years of professional experience in a business office, property management office, real estate office, leasing office, or similar professional environment
- Excellent organizational skills with demonstrated experience managing multiple tasks, deadlines, records, and follow up responsibilities simultaneously
- Excellent interpersonal and communication skills, both oral and written
- Strong attention to detail and a high level of accuracy
- Demonstrated ability to maintain organized files, records, and business documentation
- The ability to prioritize responsibilities and recognize items requiring timely follow up
- The ability to work independently without losing communication or coordination with the larger team
- Professional judgment and the ability to recognize when a matter should be elevated to the Commercial Property Manager
- Proficiency with Google Workspace and other business software
- The ability to learn and work efficiently within property management software and electronic record systems
- A professional attitude and strong work ethic
Previous commercial property management, real estate, leasing, or tenant coordination experience is strongly preferred. Experience with Appfolio or similar property management software is also preferred.
Schedule and Work Location
This is a full-time, in-office position and is not eligible for remote work.
Typical schedule: Monday through Friday
8:00 AM to 5:00 PM
Weekend work is very limited and may occasionally be required based on business needs.
