We are seeking an experienced Assistant Property Manager to support the management of a portfolio of retail shopping centers. This position is designed as a hybrid between property management and property administration, with meaningful responsibility for day-to-day operations, tenant and vendor relationships, property inspections, lease administration and financial support. The ideal candidate is proactive, organized, detail-oriented and ready to take ownership of assigned responsibilities while working closely with the Property Manager and accounting team

ESSENTIAL FUNCTIONS

• Support the Property Manager in the day-to-day management and operation of a portfolio of retail shopping centers.
• Serve as an active point of contact for tenants and vendors and follow property issues through resolution.
• Conduct property inspections and address maintenance, appearance, safety and lease compliance concerns.
• Take ownership of assigned operational, administrative and financial responsibilities, escalating significant matters as appropriate.

QUALIFICATIONS

• 3+ years of commercial property management or property administration experience; retail/shopping center experience strongly preferred.
• Working knowledge of commercial leases, tenant relations, vendor management and property operations, with a general understanding of budgeting, A/R and operating expense reconciliations.
• Strong computer skills, including Microsoft Office; experience with MRI, Yardi or similar property management software is a plus.
• Professional, confident communicator with strong attention to detail, initiative, organization and follow-through; able to manage multiple priorities independently and collaboratively.

RESPONSIBILITIES

Property Management & Operations

• Build strong tenant and vendor relationships and follow property issues through resolution.
• Conduct property inspections and address maintenance, appearance, safety and lease compliance concerns.
• Obtain proposals, oversee vendors and coordinate repairs and smaller capital projects.
• Assist with move-ins/outs, emergencies, utilities and identification of deferred maintenance or capital needs.

Financial & Accounting Support

• Review and approve invoices and monitor property expenses against budget.
• Monitor A/R and assist with tenant collections and accounting discrepancies.
• Assist with monthly reporting, annual budgets and variance explanations.
• Assist with CAM reconciliations, property taxes, insurance renewals and other annual processes.

Lease Administration & Tenant Coordination

• Review lease information and track expirations, renewals, options and other critical dates.
• Prepare tenant correspondence and monitor lease requirements and compliance.
• Coordinate tenant improvement projects, inspections, documentation and closeout.
• Maintain property files and assist with renewals, owner requests and special projects.
