Job Title: Commercial Title Coordinator

Position Summary

We are seeking a detail-oriented and highly organized Commercial Title Coordinator to manage and support commercial real estate transactions from contract through closing. This role is responsible for coordinating title services, reviewing complex property documentation, resolving title issues, and ensuring smooth and timely closings.

The ideal candidate has experience in commercial real estate transactions, strong communication skills, and the ability to manage multiple high-value files in a fast-paced environment.

Key Responsibilities

  • Open and manage commercial title files from intake through post-closing
  • Order and review title searches, surveys, zoning documents, tax information, and payoff statements
  • Examine title commitments and identify issues requiring clearance prior to closing
  • Coordinate with attorneys, lenders, developers, brokers, buyers, and sellers throughout the transaction process
  • Resolve title defects, liens, judgments, easements, and other encumbrances
  • Prepare and organize closing documentation and settlement packages
  • Track transaction timelines and ensure all requirements are satisfied before closing
  • Maintain accurate file records and update internal systems regularly
  • Assist with escrow coordination and post-closing follow-up as needed
  • Ensure compliance with New Jersey real estate and title regulations

Qualifications

  • Previous experience in commercial real estate, title insurance, or real estate law preferred
  • Strong understanding of commercial title and closing processes
  • Ability to review and interpret legal and property-related documents
  • Exceptional organizational and multitasking skills
  • Strong verbal and written communication abilities
  • Proficiency in Microsoft Office and title/closing software systems
  • Ability to work independently and manage multiple complex transactions simultaneously

Preferred Skills

  • Experience handling multi-property or high-value commercial transactions
  • Familiarity with surveys, zoning matters, and entity documentation
  • Strong analytical and problem-solving skills
