Description of Job Duty:
The Printing Services Manager provides operational, administrative, and strategic leadership for Tennessee Tech University's Printing Services unit, overseeing daily print operations delivered through a managed services contract while ensuring alignment with university standards, service expectations, fiscal controls, and institutional priorities.
This position serves as the university's primary point of accountability for print services, managing vendor performance, production workflows, budgeting, compliance, and customer service for campus-wide printing needs. The Printing Services Manager exercises independent judgment in coordinating resources, resolving operational issues, monitoring contract deliverables, and recommending service improvements to support academic, administrative, enrollment, and marketing initiatives.
Operating with a high level of autonomy, the role bridges internal university stakeholders and contracted print personnel to ensure consistent, efficient, and high-quality printing services that reflect Tennessee Tech's brand, stewardship responsibilities, and service expectations.

Minimum Qualifications:
Bachelor's degree from an accredited institution OR an equivalent combination of education and progressively responsible experience totaling six (6) to eight (8) years. Relevant experience may be substituted for formal education with directly applicable print operations or production management experience considered essential to successful performance in this role.
Minimum of five (5) years of directly relevant experience in printing services, print production operations, managed print environments, or commercial/institutional print settings, including hands-on technical experience operating and troubleshooting press equipment.
Demonstrated technical proficiency with commercial or institutional printing equipment, such as digital, offset, or high-volume production presses, and an understanding of press setup, calibration, and quality control requirements.
Demonstrated experience overseeing or coordinating vendors, contractors, or outsourced service providers.
Strong working knowledge of print production workflows, scheduling, quality control, and operational coordination.
Experience managing operational budgets, invoices, chargebacks, or cost controls.
Excellent organizational, communication, and problem-solving skills, with the ability to exercise independent judgment in a service-driven environment.
Preferred Qualifications:
Experience working in higher education or a large, complex organization.
Experience managing or overseeing a managed services or outsourced operational contract.
Familiarity with institutional branding standards and print quality expectations.
Experience supervising staff, contractors, or student workers.
Knowledge of procurement, contract compliance, or vendor performance management.
Essential Functions:
Print Operations & Service Management
Oversee day-to-day printing operations provided through the managed services contract, ensuring timely, accurate, and high-quality production of university print materials. Serve as the on-site operational lead for all print services, addressing workflow challenges, service issues, and production priorities as they arise.
Vendor & Contract Oversight
Act as the university's primary liaison with the managed services provider. Monitor vendor performance against contractual obligations, service-level agreements, turnaround times, quality standards, and staffing commitments. Identify concerns, document issues, and work collaboratively with the vendor to resolve problems and improve service delivery.
Fiscal Management & Cost Control
Manage the Printing Services budget, including tracking expenses, monitoring chargebacks, reviewing invoices, and ensuring compliance with university financial policies. Analyze print usage trends and costs, recommend efficiencies, and support responsible stewardship of university resources.
Customer Service & Campus Coordination
Serve as the main point of contact for campus departments utilizing Printing Services. Consult with clients to determine project needs, timelines, specifications, and delivery requirements. Resolve service concerns and ensure a consistent, professional customer experience across academic and administrative units.
Workflow Planning & Production Coordination
Coordinate print production schedules, job prioritization, and workload distribution in collaboration with contracted staff. Ensure workflows support high-demand periods such as recruitment cycles, commencement, major events, and academic deadlines.
Quality Control & Brand Alignment
Ensure printed materials meet university quality expectations and brand standards, working in coordination with Communications & Marketing leadership when needed. Monitor output for accuracy, consistency, and professionalism.
Staff Oversight & On-Site Leadership
Provide day-to-day operational direction to contracted print staff working on campus. Establish expectations, monitor performance, support training needs, and escalate staffing or performance concerns through appropriate vendor channels. Supervise student workers assigned to Printing Services, as applicable.
Equipment, Inventory & Facilities Coordination
Oversee the proper use and care of printing equipment and facilities in coordination with the managed services provider. Monitor supply levels, report equipment issues, and coordinate maintenance or service needs to minimize downtime.
Reporting, Assessment & Continuous Improvement
Prepare operational summaries, usage reports, and performance assessments for Communications & Marketing leadership. Recommend process improvements, technology enhancements, and service adjustments based on data, campus needs, and institutional priorities.
Physical Demands:
Ability to move throughout print facilities, lift or move print materials and supplies (up to 50 lbs), and stand or walk for extended periods as required for operational oversight.
Work Hours:
Typical hours are Monday-Friday, 8:00 a.m.-4:30 p.m. Additional hours may be required during peak production periods or major university events.
