Work Schedule: Monday - Friday, Standard 8-Hour Shift (Hybrid: Wednesdays are mandatory anchor onsite days; events require onsite presence; remaining onsite days are flexible. Occasional early morning starts may be required to coordinate with global teams in Basel).
Overview of the Job
The Communications Operations Manager plays a central, hands-on role in powering a high-performing team of seven Communications Business Partners, ensuring priorities, timelines, and deliverables stay on track. This role brings structure to complexity, drives operational excellence, manages team communications channels, and executes logistics for key internal events such as town halls, coffee chats, and leader office hours. This is a contract opportunity running from August 17, 2026, through August 13, 2027.
Job Specifications
Primary Responsibilities
• Manage day-to-day operational coordination for a team of seven Communications Business Partners, ensuring priorities and deliverables remain on schedule.
• Plan and execute end-to-end logistics for internal engagement activities, town halls, leader office hours, coffee chats, and functional events in partnership with admin and events teams.
• Maintain and optimize team calendars, align key milestones and leadership engagements, and proactively resolve scheduling conflicts.
• Oversee shared mailboxes and communication channels, triaging incoming requests and ensuring timely responses or proper escalation.
• Build, organize, and continuously refine standard operating procedures (SOPs), templates, and shared drive knowledge management systems.
• Partner cross-functionally with internal communications colleagues, administrative professionals, and event management teams to ensure seamless execution.
• Identify process bottlenecks to simplify workflows, eliminate friction, and enhance overall operational efficiency across the team.
Required Knowledge, Skills, and Abilities
• Proven ability to manage complex, concurrent workstreams with exceptional organization and attention to detail.
• Strong proactive, solutions-oriented mindset with the ability to navigate fast-paced, collaborative corporate environments.
• Clear, professional verbal and written communication skills with strong interpersonal relationship-building abilities.
• Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar, Gmail) and project management/productivity platforms (e.g., Monday.com).
• Flexibility to adapt quickly to new software systems and tools.
Preferred Qualifications
• Prior experience supporting corporate internal communications teams is highly desirable.
• Basic graphic design skills are a plus.
Education and Experience
• 5–8 years of professional experience in corporate operations, executive administration, project coordination, or related operational roles.
