    About the Role

    We are looking for a Community Associate to join our team and help create an exceptional experience for our members, guests, and visitors.

    This is a hands-on, customer-facing role that combines front desk/reception responsibilities, customer service, administrative support, facility operations, and community management. The ideal candidate is professional, dependable, organized, comfortable working independently, and willing to jump in wherever needed to keep the center running smoothly.

    This position is ideal for someone who enjoys interacting with people, takes pride in maintaining a professional environment, and is comfortable with both administrative and physical tasks.

    Key Responsibilities

    Member & Guest Experience

    • Welcome members, guests, prospects, and visitors in a professional and friendly manner.
    • Serve as a primary point of contact for members and assist with day-to-day requests.
    • Answer and direct phone calls and respond to general inquiries.
    • Assist members with questions regarding meeting rooms, offices, amenities, mail, access, and other center services.
    • Maintain a welcoming, professional, and organized reception area and shared spaces.
    • Help create a positive community atmosphere within the center.

    Front Desk & Administrative Support

    • Manage incoming and outgoing mail, packages, and deliveries.
    • Receive and distribute packages to members.
    • Assist with member check-ins and visitor management.
    • Maintain accurate records and complete routine administrative tasks.
    • Assist with printing, copying, scanning, and other member requests.
    • Monitor shared spaces and ensure they remain clean, organized, and ready for use.
    • Support meeting room scheduling, preparation, and resets.
    • Assist the Community Sales Manager with administrative and operational tasks.

    Center Operations

    • Conduct regular walkthroughs of the center and identify maintenance, cleanliness, or facility issues.
    • Submit and follow up on maintenance and service requests as needed.
    • Coordinate with building management, vendors, and service providers when necessary.
    • Help prepare offices, meeting rooms, and common areas for new members, tours, and events.
    • Assist with office moves, furniture rearrangement, and workspace setup.
    • Help set up and break down furniture, desks, chairs, tables, and other equipment.
    • Assist with community events, marketing activities, and center initiatives.
    • Maintain a professional appearance throughout the center and ensure spaces are presentation-ready.

    Physical & Facility Responsibilities

    • Regularly move and rearrange office furniture and equipment as needed.
    • Safely lift and carry items such as chairs, boxes, tables, and office equipment.
    • Ability to lift up to 50 lbs. with or without reasonable accommodation.
    • Remain on your feet for portions of the workday and move throughout the center regularly.
    • Follow appropriate safety procedures when moving furniture or equipment.

    What We're Looking For

    • Previous experience in customer service, hospitality, reception, office administration, coworking, property management, or a similar environment preferred.
    • Excellent communication and interpersonal skills.
    • Professional, friendly, and approachable demeanor.
    • Strong organizational and time-management skills.
    • Ability to prioritize multiple tasks and respond to changing needs.
    • Comfortable working independently and taking initiative.
    • Strong attention to detail.
    • Basic computer proficiency and ability to learn new systems quickly.
    • Comfortable handling both administrative responsibilities and hands-on operational tasks.
    • Reliable, punctual, and dependable.
    • Ability to maintain professionalism in a fast-paced environment.
    • Must be comfortable lifting and moving office furniture and supplies.

    Preferred Qualifications

    • Experience working in a professional office, coworking, hospitality, or commercial property environment.
    • Experience with Microsoft Office, Outlook, Excel, or similar business software.
    • Experience with CRM, booking, visitor management, or facilities systems.
    • Experience coordinating events or supporting a professional community.
    • Bilingual English/Spanish is a plus.
