Sigma, Inc. is seeking a Complaint Unit Office Support professional to work onsite with our client, the Commonwealth of Massachusetts – Department of Public Health (Health Care Quality) in Marlborough, MA. This role provides essential administrative and technical support to the Health Care Facility Complaint Unit, ensuring accurate complaint processing, database management, and effective communication with internal teams and external stakeholders.
This is an excellent opportunity for candidates with experience in administrative support, data entry, healthcare operations, public health, or government environments.
Prepare reports, proofread correspondence, and respond to inquiries related to regulatory inspections and investigations, including public record requests
Process and enter healthcare facility complaints into the CMS federal database and the Division’s HCFRS system
Maintain and update case records and databases with a high level of accuracy
Respond to external inquiries and communicate with healthcare providers and other agencies to obtain missing or required information
Provide general office support including reception duties and phone coverage
Support unit managers, supervisors, and staff with administrative and operational tasks
Previous experience in office support, administrative assistance, or clerical roles
Strong data entry and database management skills
Excellent written communication skills, including proofreading and correspondence preparation
Ability to handle confidential information with professionalism and discretion
Strong organizational skills and attention to detail
Ability to work onsite in Marlborough, MA, Monday through Friday
Experience in healthcare, public health, regulatory, or government environments
Familiarity with complaint processing, case management, or inspection/investigation support
Prior experience working with CMS systems or HCFRS (preferred but not required)
