GENERAL RESPONSIBILITIES:

  • Systems Management: Oversee and maintain compliance databases, ensuring the accurate and timely entry of audit data and technical documentation.
  • Supplier Coordination: Facilitate the completion of Due Diligence Questionnaires (DDQs) and collaborate with suppliers to obtain current production schedules.
  • Audit & Inspection Logistics: Schedule third-party inspections and audits; serve as the primary liaison between external agencies and supplier facilities.
  • Quality Assurance Liaison: Partner with the Quality Control (QC) department to track and document quality approvals.
  • Internal Support: Provide administrative and analytical support to the Compliance Manager and Analyst to streamline departmental workflows.
  • On-Site Auditing: Conduct physical label audits on incoming products at distribution centers to ensure regulatory and branding accuracy.
  • Policy Maintenance: Regularly review and update compliance policy documentation to reflect current industry standards and internal requirements.
  • Operational Support: Perform additional duties as assigned to support the evolving needs of the compliance team.

EDUCATION, KNOWLEDGE, and SKILLS:

  • Experience: 1-3 years of related administrative or office experience, preferably within a logistics, manufacturing, or regulatory environment.
  • Technical Proficiency: High level of proficiency in Microsoft Office Suite (Excel, Word, Outlook) and a general aptitude for learning specialized database software.
  • Communication: Exceptional verbal and written communication skills with the ability to convey technical requirements clearly to diverse stakeholders.
  • Critical Thinking: Strong research capabilities and the ability to manage multiple high-priority projects simultaneously.
  • Ethics: Demonstrated ability to act with a high degree of integrity, professionalism, and discretion regarding confidential information.

SUMMARY: The Compliance Coordinator is responsible for ensuring that all products and supplier processes meet established regulatory and internal standards. This role provides critical operational support to the Compliance management team, facilitating seamless communication between suppliers, quality control, and third-party agencies to mitigate risk and maintain product integrity.
