We are seeking a Concierge to serve as a welcoming first point of contact for clients, guests, vendors, and employees. This role combines front desk reception, hospitality, conference room support, workplace coordination, and administrative responsibilities in a professional corporate environment.
Schedule: Monday through Friday, 8 am to 5 pm
Pay: $25/hour
Location: Midtown NYC
Job Functions
- Serve as a brand advocate and ambassador in every interaction with clients, guests, vendors, and employees.
- Welcome and greet visitors, employees, and vendors in a warm and professional manner.
- Register guests, issue visitor identification badges, maintain visitor logs, and follow all building security procedures.
- Direct guests to waiting areas, conference rooms, and appropriate staff members.
- Maintain a clean, organized, and professional Front of House/Reception area.
- Answer incoming calls promptly and professionally, screen calls, take messages, and route calls to the appropriate parties.
- Provide exceptional customer service by responding to inquiries, identifying needs, and resolving concerns in a timely manner.
- Provide in-house beverage and hospitality services to clients and guests, including preparing coffee upon request.
- Monitor client and conference rooms, including setup, refreshments, resets, and post-meeting cleanup.
- Assist with conference room scheduling and maintain accurate scheduling records and manual Excel trackers.
- Set up conference rooms according to meeting requirements and client specifications.
- Assist with printing and basic IT-related requests.
- Submit Building Engines work orders for office-related issues and weekly visitor passes.
- Assist employees with locating and reserving desks through Condeco or on-site during peak occupancy periods.
- Order snacks, beverages, stationery, and other office supplies through approved vendors such as Amazon.
- Coordinate internal and external lunch orders for meetings and events.
- Prepare shipping labels and process FedEx packages as requested.
- Assist with ordering business cards and other workplace materials.
- Complete and route forms accurately and in a timely manner.
- Assist with various office filing, administrative, invoicing, and reporting projects.
- Create, update, and maintain procedures and protocols as needed.
- Support process improvement initiatives by identifying opportunities to improve workplace operations.
- Open and close the work area according to scheduled hours, ensuring the space is fully prepared for daily operations.
- Maintain a high level of communication with all levels of staff, clients, and customers.
- Maintain a professional appearance and demeanor at all times.
- Perform other administrative and workplace support duties as assigned.
Position Requirements/Experience/Education
- 2+ years of experience in reception, hospitality, office services, workplace experience, customer service, or a related field preferred.
- Previous experience in a corporate or professional office environment strongly preferred.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Professional, polished, and welcoming demeanor.
- Strong organizational skills with excellent attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Comfortable interacting with individuals at all levels of an organization.
- Proficient with Microsoft Office, particularly Outlook and Excel.
