WHAT YOU’LL DO

Patient Experience


  •  Greet every patient with professionalism and warmth 
  •  Create a smooth, welcoming, concierge-level experience 
  •  Make sure patients feel informed, supported, and comfortable 
  •  Be the consistent point of contact from arrival to follow-up 
  •  Maintain a clean, calm, and polished front office 
Front Desk & Flow


  •  Manage check-in and check-out 
  •  Update patient information in the EHR 
  •  Ensure all forms and consents are completed correctly 
  •  Coordinate with clinical staff on patient arrival and flow 
  •  Open and close the front office daily 
Scheduling & Coordination


  •  Schedule consultations, procedures, and follow-ups 
  •  Coordinate patient treatment timelines with providers 
  •  Keep patients on track with their care plan 
  •  Ensure smooth movement through each stage of treatment 
Payments & Financial Discussions


  •  Explain pricing and payment expectations clearly and professionally 
  •  Collect payments accurately 
  •  Provide receipts and documentation 
  •  Handle financial conversations with confidence and respect 
Admin Support


  •  Scan and upload documents into eClinicalWorks (eCW) 
  •  Prepare consent forms and procedure packets 
  •  Update Salesforce and Leading Reach 
  •  Handle incoming mail and front office tasks 
  •  Support patient engagement and clinic marketing efforts 
Compliance & Team Support


  •  Follow strict HIPAA standards 
  •  Communicate clearly with clinical staff and patients 
  •  Support clinic operations as needed 
  •  Help maintain clinic service standards every day 

WHAT WE’RE LOOKING FOR

  •  At least 2 years of medical office experience required 
  •  Understanding of regenerative medicine with a strong willingness to learn and grow in the field 
  •  Self-pay or cash-based practice experience strongly preferred 
  •  Strong communication and customer service skills 
  •  Comfortable handling payments and patient conversations 
  •  Organized, reliable, and detail-oriented 
  •  Experience with eClinicalWorks preferred 
  •  Professional, calm, and patient-focused 
  •  Bilingual is a plus
