Position Summary

The Concurrent Enrollment Specialist provides operational, advising, recruitment, and administrative support for Southern Union State Community College's (SUSCC) concurrent enrollment programs. This position assists the Director of Academic Programs with the daily coordination and management of concurrent enrollment operations and serves as a key liaison between students, parents, school officials, university partners, faculty, and college departments.

Concurrent enrollment at SUSCC functions as a cross-functional department with institution-wide impact, engaging with recruitment, admissions, advising, scheduling, financial processes, student support services, public relations, ERP management, reporting, and university partnerships. The Concurrent Enrollment Specialist plays a critical role in maintaining efficient program operations, supporting student success initiatives, ensuring accurate records and compliance, and enhancing communication across internal and external stakeholders.

The individual in this position must be highly organized, detail-oriented, technologically proficient, customer-service focused, and capable of independently managing multiple priorities in a fast-paced academic environment.

Salary: Appropriate placement on the Alabama Community College System Salary Schedule E3 (Salary range: $39,759 - $62,710)

Essential Duties and Responsibilities

In addition to adhering to the policies, procedures, and guidelines as specified by the Southern Union State Community College Employee Handbook, Alabama Community College System Board of Trustees, the President, and the Dean, duties include the following:

  • Assist with recruiting, onboarding, advising, registering, and retaining concurrent enrollment students.
  • Plan, coordinate, and facilitate information sessions, orientation events, and outreach activities for prospective students, parents, counselors, and school officials.
  • Review applications, verify eligibility requirements, process admissions documentation, correspond with program partners, and communicate admissions decisions.
  • Develop, maintain, and update accurate degree plans and academic pathways for concurrent enrollment students.
  • Serve as an academic advisor for concurrent enrollment students.
  • Maintain accurate student records, digital files, and program documentation related to enrollment, retention, academic progress, degree completion, and compliance.
  • Process and organize transcripts, registration forms, tuition documentation, invoices, financial records, and other program-related paperwork.
  • Assist with tuition posting, billing verification, invoice reconciliation, and communication with the Business Office regarding student accounts and payments.
  • Utilize the ERP system, course management systems, reporting software, and other technology platforms to enter, retrieve, maintain, and analyze student and program data.
  • Assist with course scheduling coordination, registration troubleshooting, prerequisite/corequisite approvals, and equivalent course processing.
  • Compile and maintain data for institutional reporting, program evaluation, compliance requirements, enrollment tracking, and decision-making purposes.
  • Respond promptly and professionally to inquiries from students, parents, school officials, faculty, and university partners regarding concurrent enrollment policies, procedures, deadlines, and program requirements.
  • Collaborate with Admissions, Financial Aid, Advising, Academic Affairs, Public Relations, the Business Office, Information Technology, and university partners to ensure effective program operations and student support.
  • Assist in developing, updating, and maintaining concurrent enrollment handbooks, webpages, forms, guides, promotional materials, and communication campaigns.
  • Coordinate promotional efforts and communication initiatives with Public Relations staff and TargetX Administrator(s).
  • Assist with maintaining accurate program information in digital systems, webpages, shared drives, and workflow applications.
  • Represent the concurrent enrollment program at meetings, recruitment events, workshops, and college functions as assigned.
  • Provide excellent customer service while maintaining professionalism, confidentiality, and FERPA compliance.
  • Assist with troubleshooting operational issues and resolving student and partner concerns in a timely manner.
  • Maintain knowledge of ACCS policies, articulation agreements, concurrent enrollment regulations, and institutional procedures.
  • Perform other duties as assigned by the Director of Academic Programs or Dean.

Qualifications

MINIMUM QUALIFICATIONS

  • A bachelor's degree from a regionally accredited institution is required.
  • Two years of experience in higher education, academic advising, student services, administrative support, program coordination, admissions, recruitment, teaching, or a related field is required.
  • Experience working with databases, ERP systems, student information systems, or workflow management systems is required.
  • Demonstrated proficiency in Microsoft Office applications, particularly Microsoft Excel, Word, Outlook, and PowerPoint.
  • Experience managing multiple projects, maintaining accurate records, and meeting deadlines in a fast-paced office environment.
  • Strong written, verbal, organizational, and interpersonal communication skills.
  • Ability to work independently, take initiative, problem-solve, and interact professionally with diverse populations.

PREFERRED QUALIFICATIONS

  • A master's degree from a regionally accredited institution is preferred.
  • Experience in post-secondary education is preferred.
  • Advanced proficiency in Microsoft Excel or workflow applications is preferred.
  • Certification in Microsoft Excel and Microsoft Word is preferred.

Sick Leave

All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Retirement

The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. Tuition Assistance

This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.

Employees/Dependents at two-year colleges:

  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
