Job Description:

This recruitment will be used to fill two part-time (a maximum of 24 hours per week) Conference and Event Services Support Student for the Conference and Event Services, University Relations and Marketing at Oregon State University (OSU).

Conference and Event Services Support Student position will support the daily operations of Conference and Event Services (CES), as well as The LaSells Stewart Center (LSC) by serving as a primary point of contact for clients, guests, visitors, and campus partners. Responsibilities include providing exceptional customer service, answering questions in person, by phone, and via email, assisting with client intake and event inquiries, managing front desk communications, maintaining accurate records, and supporting administrative and operational functions of the facility and Conference & Event Services Unit. Additional duties may include assisting with event-related logistics, preparing materials, and onsite support to ensure welcoming and professional experience for all guests. 

 

The LaSells Stewart Center is Oregon State University’s premier performing arts and conference venue, which hosts a wide range of campus and community events year-round. With over 40,000 square feet of conference and performance space, The LaSells Stewart Center hosts a wide variety of events year-round, including conferences, lectures, concerts, cultural celebrations, and art exhibitions. 

Position Duties:

• Welcome guests, clients, event attendees, and campus partners in a professional and friendly manner; answer questions and provide information regarding events, services, and facility operations.

• Serve as the primary front desk contact by answering phone calls, managing multiple email inboxes (LSC Services, Events, Conferences) , and in-person inquiries, directing visitors to appropriate resources and staff as needed.

• Perform daily opening and closing procedures to ensure the front desk and public spaces are prepared for business operations.
• Serve as a lead in ensuring event spaces are set up, maintained, and reset to The LaSells Stewart Center standards. Assist with room setup and breakdown, oversee the placement of signage and event materials, monitor public spaces for cleanliness and guest needs, and identify and communicate maintenance, safety, and operational concerns to ensure a seamless event experience. 

• Assist with client intake, event inquiries, reservation requests, and general administrative support for the Conference and Event Services Unit. 

• Maintain a thorough understanding of upcoming conferences, meetings, performances, and special events while serving as a communication liaison between clients, guests, and CES staff, providing accurate information, directing inquiries, and communicating event updates, room locations, and operational changes as needed. 

• Support event operations by preparing materials, managing guest lists, assisting with registration and check-in activities, and helping coordinate event logistics. 

• Process incoming and outgoing mail, deliveries, and department correspondence. 

• Provide exceptional customer service by addressing guest needs, resolving concerns, and ensuring a positive visitor experience. 

• Assist event staff with room access, wayfinding, setup support, guest check-in, basic technology support, and other event-related activities as assigned. 

• Support the overall success of Conference and Event Services by contributing to a professional, organized, and customer-focused environment. 

• Perform other duties as assigned.

• Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
• Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
• Must meet the applicable minimal enrollment standard
  • High School student: Regularly enrolled in a high school or participating in a home-schooling program
  • Undergraduate and post-baccalaureate student: 6 credit hours per term
  • Undergraduate international student: 12 credit hours per term*
  • Graduate student officially admitted to Graduate School: 5 credit hours per term
  • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). Required Qualifications:

• Customer service experience in a professional, hospitality, or office environment.
• Proficiency with Microsoft Office (Outlook, Word, and Excel) and the ability to learn new software.

Working Conditions/Schedule:

• This position works in an office environment during normal business hours of 7 am – 6 pm. This position requires a flexible schedule that may include early mornings, evenings, weekends, and occasional holidays based on event needs. Average hours 15 per week, maximum hours 24 per week.

• Work is performed in a variety of event and meeting spaces, including occasional outdoor locations, and may involve standing and walking for extended periods in busy, noisy, or dimly lit environments. Regular use of office, event, and audiovisual equipment is required. The position also requires the ability to occasionally lift, carry, and move event materials and equipment/furniture weighing up to 50 pounds.
