JOB OVERVIEW

Kaiyuh Services is seeking a highly organized and dependable Construction Project Coordinator to support a federal project team located at Wright-Patterson Air Force Base in Dayton, Ohio.

This position plays an important role in helping projects and office operations run smoothly by supporting project managers, subcontractors, invoicing, scheduling, documentation, and day-to-day administrative functions.

The ideal candidate is detail-oriented, comfortable working with numbers and spreadsheets, capable of managing multiple priorities, and able to work independently with limited supervision while also collaborating effectively with a team.

RESPONSIBILITIES

Project & Administrative Support

  • Support Project Managers and the Contract Manager with day-to-day project coordination and office support.
  • Maintain organized project files, documentation, correspondence, and subcontractor records.
  • Assist with scheduling meetings, tracking deadlines, and monitoring project documentation.
  • Perform general administrative duties including answering phones, filing, scanning, and maintaining office organization.
  • Support proposal and estimate preparation as needed.

Invoice & Documentation Coordination

  • Review invoices, labor hours, and supporting documentation for accuracy and completeness.
  • Track payables, receivables, subcontractor paperwork, and invoice submissions.
  • Prepare and track project-related forms, modifications, and close-out documentation.

Team Coordination

  • Communicate professionally with subcontractors, vendors, corporate staff, and project teams.
  • Operate independently while balancing multiple responsibilities and priorities.
  • Help maintain a professional, organized, and collaborative office environment.

REQUIREMENTS

  • Associate's degree preferred.
  • Minimum of 2 years of comparative experience; or equivalent combination of education and experience.
  • Experience in a construction or engineering setting preferred.
  • Demonstrated proficiency with Microsoft Windows, Microsoft Office 365, Teams, and a web collaboration tool such as SharePoint.
  • Experience completing pre-construction documents and tracking the progress of submittals preferred.
  • Experience in Alaska Native Corporations preferred but not required.
  • Ability to pass a background check and drug screening.

WORK ENVIRONMENT

This position will primarily work in an office setting. The office environment is professional, collaborative, and conducive to focused work. The typical office amenities and equipment, including computers, phones, and other necessary tools, will be provided.

PHYSICAL DEMANDS

SEDENTARY WORK

The position involves predominantly sedentary work. Most tasks will be performed while sitting at a desk or a computer workstation.

SCREEN TIME

Extensive use of computer screens and keyboards is required. The role involves working in various software applications and may require extended periods of screen time.

LIFTING & CARRYING

Minimal physical effort is required. Occasionally, the employee may need to lift or carry light office supplies or materials.

MOBILITY

The employees will need to move around the office to attend meetings, access shared resources, and collaborate with team members.
