Summary/Objective:

To provide support for the construction project team. The Project Coordinator manages documents such as subcontracts, vendor invoices, and project changes. They play a crucial part in communicating information from the office to the field staff.

Essential Functions

1. Complete and electronically distribute subcontracts, secure proper paperwork, and verify subcontractors are in good standing with vendor compliance prior to starting work.

2. Process and manage electronic copies of project-related documents, i.e., contracts, subcontracts, purchase orders, change orders, RFIs, meeting minutes, close-out documentation, start-up binders, etc.

3. Provide clerical/administrative support for project team and ensure all documentation requested is received from subcontractors/suppliers for each ongoing project

4. Document and track potential change orders; document approved change orders; file electronically and distribute to appropriate team members

5. Secure and compile electronic close-out documents

6. Handle accounting tasks of projects, including computer entry of invoices in accounting & job cost system

7. Sort, prioritize, and distribute incoming and outgoing materials

8. Manage the setup of projects in appropriate software for daily reporting logs and building drawings

9. Assist the front desk receptionist as needed with answering phones and greeting guests

10. Assist estimating in strategic tasks for system improvements and subcontractor development

11. Assist the VP team in strategic tasks for system improvements and manpower reports

Supervisory Responsibilities:

This position doesn't have any direct supervisory responsibilities but does serve as a coach or resource for other positions in the company.

Work Environment:

The employee will be in a busy office area. The project coordinator may occasionally make jobsite visits and participate in safety trainings that may be outdoors. Personal Protective Equipment must be used as situations require.

Physical Demands:

The project coordinator spends long hours sitting at a desk. The employee spends most of their day using office equipment, which may cause eye or muscle strain. The employee will occasionally need to lift some of the office equipment, supplies, and materials (15 lbs.) The employee, while attending jobsites, may be required to occasionally climb ladders and cross uneven ground.

Position Type/Expected Hours of Work:

This is a non-exempt full-time position. Hours of work are Monday-Friday with 40 hours per week being the expectation.

Travel:

The employee will primarily be at the office with occasional travel to job sites and educational trainings.

Required Education and Experience:

-High School Diploma or equivalent

-Previous administrative experience

Preferred Education and Experience:

-Experience in the construction industry

-Basic understanding of Information Technology

-Familiarity with Viewpoint and Bluebeam

Work Authorization/Clearances:

The employee must be able to pass a pre-employment drug screening and Motor Vehicle Record review. The employee must have a current driver's license.
