SUMMARY:
This position is responsible for managing warehouse operations, staff, volunteers, and processes which directly support the New Construction and Home Preservation operations. This position also leads cost saving initiatives focused on elimination of waste and leveraging bulk buying of all consumable materials. This includes all Purchase Orders for vertical construction (materials and sub-contractor services) and tracking of all materials and services until they are delivered to site or sub work is complete.
ESSENTIAL DUTIES:
· Strategically manage warehouse in compliance with company's policies and vision.
· Ensure that project/department milestones/goals are met and adhere to approved budgets.
· Oversee receiving, warehousing, distribution, and maintenance operations.
· Set-up warehouse layout and ensure efficient space utilization.
· Establish warehouse practices and protocols to achieve an efficient warehouse.
· Maintain standards of health, safety, hygiene, and security
· Manage stock control and reconcile with warehouse management system (WMS)
· Purchase all materials needed for Habitat construction projects and create "kits" for materials not delivered to site.
· Match incoming invoices with appropriate purchase order, verifying quantity and pricing.
· Create and distribute purchase orders for all sub-contractor work after pre-con functions for Habitat builds.
· Close out purchase orders in a timely manner to ensure expenses are booked accordingly (in the month they occurred)
· Code and forward all invoices to Accounting on a weekly basis and manage Gift-in-Kind (GIK) processing.
· Pull designated reports from QuickBooks in order to track site/job activities to guarantee expenses are properly assigned.
· Ensure that all subcontractors have necessary licenses and the required amount of liability insurance and workers compensation insurance and have signed Master Agreements
· Lead cost saving projects to reduce cost for construction.
· Lead the annual bid process for sub-contractor partners for Habitat builds, with the aid of CPO
· Maintain excellent relationships with subs and material vendors
· Tracks and control project costs and schedules with CPO and Construction PM
· Help screen, select, and coordinate subcontractors and suppliers.
· Generate periodic progress reports and provide updates to CPO
· Examine material delivered to verify conformance to specifications.
· Arrange transfer of materials to meet schedules.
· Compute amount of material required to complete jobs.
· Compile and maintain manual or computerized records, such as material inventory, in-process reports, and status and location of materials.
· May move or transport materials.
· Manage monthly inventory of materials in the warehouse and provide records to Finance team.
SKILLS AND QUALIFICATIONS:
· Bachelor's degree in related field or combination of education and applicable experience.
· Good project management skills including strong decision making, problem solving, and strategic planning abilities.
· Business skills/maintenance of finances. Adherence to HFHGC budgeting, job-costing, and coding of invoices.
· Excellent oral and written communication skills
· Awareness of social/community issues (e.g. poverty, affordable housing, community service, urban redevelopment)
· Diversity training/experience. Working in an environment with people of varying ethnicities, religions, socio-economic backgrounds.
· Excellent skills with standard office equipment and devices, especially Excel and Word. Quickbooks experience helpful.
· Working knowledge and demonstrated use of project scheduling programs like Teamwork.
· Current driver's license and vehicle.
· Ability to establish and maintain excellent working relationships with directors, co-workers, and other Habitat staff. Ability to work as part of a functionally diverse team.
