The Note Finance Collateral & Documentation Analyst is responsible for the review, validation, tracking, and custody of loan collateral documentation supporting borrowing base lending facilities. This role performs detailed reviews of legal and collateral documents to ensure accuracy, completeness, and compliance with internal requirements prior to funding and throughout the lifecycle of the loan.
The analyst serves as a key control point by validating collateral information against borrowing base reports, loan systems, and supporting source documentation. The position requires strong attention to detail, document management experience, and the ability to identify and escalate exceptions that may impact collateral perfection, lending compliance, or portfolio risk.
This is a contract position supporting the Note Finance Operations team.
Primary Responsibilities
Collateral Management
Receive, organize, and maintain collateral packages for newly funded and existing loans.
Check in and track physical and electronic collateral documents.
Maintain collateral inventory logs and tracking tools.
Ensure collateral files are complete and properly indexed.
Support collateral transfers, releases, and audits.
Document Review & Validation
Review and validate documentation including:
Promissory Notes
Titles
Assignments
Deeds
Deeds of Trust
Security Agreements
Collateral Schedules
Additional supporting legal documents
Borrowing Base Verification
Review collateral documentation against Borrowing Base reports.
Verify collateral values, counts, and asset information.
Confirm pledged collateral is accurately reflected in the Borrowing Base.
Research and resolve discrepancies between source documents and system records.
Identify missing, incomplete, or inaccurate collateral records.
Quality Control & Exception Management
Perform quality assurance reviews of collateral files.
