CONTRACT ADMINISTRATOR

Position Summary

The Contract Administrator is responsible for administering and managing customer, supplier, and subcontractor contracts throughout the entire contract lifecycle—from contract review and execution through closeout. This position serves as the primary point of contact for contract administration, ensuring compliance with contractual obligations, maintaining accurate contract records, coordinating contractual communications, and supporting program execution. Working closely with Program Managers, Project Managers, Finance, Document Control, Engineering, and external stakeholders, the Contract Manager helps ensure contractual requirements, project milestones, invoicing, correspondence, and change management activities are effectively managed while protecting the company's business interests. 

This position also provides day-to-day supervision of the Document Controller, ensuring effective document control processes and timely communication of contractual documentation across all programs.

Responsibilities
  • Draft, review, negotiate, and administer customer, supplier, and subcontractor contracts throughout the contract lifecycle.
  • Ensure compliance with contractual terms, conditions, deliverables, and milestones by all parties.
  • Serve as the primary point of contact for contract administration and contractual correspondence.
  • Maintain contract files, records, amendments, and related documentation in the contract management system.
  • Support Program Managers and Project Managers in preparing customer and subcontractor correspondence.
  • Coordinate with Document Control to ensure timely distribution, tracking, and retention of contractual correspondence and project documentation.
  • Monitor contract performance and recommend contract modifications, extensions, renewals, or closeout activities.
  • Support the preparation and administration of change orders, proposals, claims, and cost estimates.
  • Coordinate with Finance to ensure invoices are prepared in accordance with contractual milestones and payment terms.
  • Verify and distribute monthly project reports and contractual status updates to internal stakeholders.
  • Collaborate with Engineering, Production, Procurement, Finance, and Project Management to resolve contract-related issues.
  • Identify contractual risks and recommend practical solutions that protect the company's interests while maintaining positive customer and supplier relationships.
  • Maintain accurate project correspondence logs and contract status reports.
  • Support continuous improvement of contract administration processes and document control procedures.
Requirements and Qualifications
  • Bachelor's degree in Business Administration, Finance, Supply Chain, Law, Engineering, or a related field.
  • 3+ Years of contract administration or contract management experience, preferably in manufacturing, transportation, construction, aerospace, or a project-based environment.
  • Working knowledge of contract administration principles and contract law.
  • Experience drafting, reviewing, negotiating, and administering commercial contracts.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Strong negotiation, analytical, and problem-solving abilities.
  • Ability to manage multiple priorities while meeting deadlines.
  • Experience supporting cross-functional project teams.
  • Project Management training or certification is preferred.
  • Advanced proficiency with Microsoft Office 365; experience with ERP systems and document management software is a plus.
