Position Description

Future Fence Company, founded in 1979, is the largest installer of commercial fence in the state of Michigan and is focused on future growth. Our team of skilled craftsmenbuild some of the Midwest's most interesting ornamental architectural metal products for bridges, buildings and streetscapes out of a variety of metals including steel, aluminum, stainless and bronze.

Position Summary : Reporting to the Controller, the Contracts Administrator is responsible for the oversight and administration of all project contracts from award through closeout. This position ensures contract compliance, minimizes company risk, and maintains accurate documentation throughout the project lifecycle. The Contracts Administrator works closely with Project Managers, Estimating, and Accounting teams to ensure all contract and billing requirements are fulfilled efficiently and accurately.

Duties / Responsibilities:

    • Review, interpret, and comment on contract terms and conditions to reduce company exposure to risk and potential liability.
    • Oversee and maintain documentation for all awarded project contracts and subsequent change orders.
    • Enter new project information into Vista by Viewpoint and maintain data accuracy throughout the project.
    • Prepare and file Notices of Furnishing and Notices of Commencement in accordance with state and local guidelines.
    • Generate accurate and timely project invoices, including AIA billing and third-party system submissions.
    • Track project billings, payments, and retainage to ensure timely collection.
    • Research and resolve billing or payment discrepancies in coordination with Accounting and Project Management teams.
    • Prepare Contractor's Statement of Experience and Financial Condition for prequalification as required.
    • Manage all contractor requests for close-outs, waivers, and supporting documentation.
    • Issue and track Certificates of Insurance and related compliance materials.
    • File liens when necessary and maintain related records in compliance with state laws.
    • Maintain organized contract files and ensure proper documentation and record retention.
    • Support the development and refinement of contract administration procedures to improve efficiency and compliance.

Position Requirements

Qualifications / Education:
    • Associate or Bachelor's degree in Business Administration, Construction Management, or related field preferred.
    • 3+ years of experience in contract administration, billing, or construction project support required.
    • Knowledge of construction contracting practices, lien laws, and change order management.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Vista by Viewpoint or similar ERP systems preferred.
    • Strong organizational skills with high attention to detail and accuracy.
    • Excellent written and verbal communication skills.
    • Ability to work independently and collaboratively in a fast-paced environment.
    • Familiarity with AIA billing and third-party vendor systems preferred.
