The Contracts Clerk provides daily office support for tour reception and sales representatives indirectly supporting the prospective customers by checking them in for their presentation, assigning a tour representative and typing contracts. Performs daily tasks to ensure the efficiency of the administration office including data entry for tour entry and gifting, typing and processing timeshare sales contracts; processing all aspects of sales agreements, updating any modifications on sales and handling customer service calls after the sale. Your Impact
- Greets customers arriving for their presentation. Assigns the representative to the customer and distributes recording devices to the representatives.
- Prepares gifts for customers and monitors premium inventory.
- Types timeshare sales contracts; processes, scans and mails (if necessary) contract paperwork, including changes to contracts; such as pending sales going to OW, cancellation letters, updating PAC, addendums and other customer correspondence.
- Maintains Customer Interaction (after sale)
- Processes down payments on sales.
- Completes customer correspondence letters, addendums to contracts, including making payment amount and date adjustments, demand letters for late payments.
- Assists customers with inquiries after sale; including general contract questions and questions regarding their ownership.
- Assists Verification Loan Officers (VLOs) with general customer questions and contract corrections.
- Facilitates communication with the VLO and/or salesperson.
- Verifies and balances all customer tours in relation to actual tours at the resort
- Obtains equities from current timeshare mortgage in preparation for potential sales upgrades.
- Checks equity status as requested.
- Calls Corporate to ascertain if customer payments, late fees on maintenance, and taxes are current.
- Perform other duties as assigned.
What You Bring
- Relevant work experience with a HS Diploma or equivalent is preferred.
- Ability to use internal Company software for contracts.
- Knowledge of Microsoft Office®, Word®, and Excel®.
- Skill and ability to type accurately in a highly charged sales environment.
- Must be able to perform general office duties.
- Ability to communicate effectively with many types of customers.
- Must be able to work weekends, holidays and extended hours, if needed.
- Florida Notary Public certification
