POSITION SUMMARY

We are seeking an experienced Contracts Specialist to support and strengthen our contract operations team! This role will support Owner/Architect and Subcontract agreement needs across MOREgroup practice areas, ensuring timely contract execution and compliance with company standards. The ideal candidate will operate with a high level of independence and ownership, managing contracts from intake through execution and post execution. This role plays a key part in maintaining the integrity of our contract processes, reducing risk, and ensuring complete and accurate documentation across all practice areas.

In addition to day-to-day contract responsibilities, this position will serve as a resource and partner to internal teams, including legal, finance, and admin, helping to reinforce workflows, improve processes, and support scalability as the organization continues to grow. The Contracts Specialist will also engage directly with subconsultants and external partners, supporting onboarding and compliance efforts as part of the firm’s Consultant Partnership Program.

This is a hybrid position based in our Fort Worth office. This role is best suited for someone who is detail driven, proactive, and comfortable taking ownership of their work, with the ability to anticipate needs, identify gaps early, and deliver high quality, complete results. The ideal candidate has prior corporate contracts experience.

RESPONSIBILITIES

  • Review incoming contracts including subcontracts for accuracy, risk and compliance of firm-wide standards and best practices with minimal oversight
  • Coordinate with internal stakeholders to ensure contract terms adhere to company policies, procedures and legal requirements
  • Maintain and update contractual information within the Contract Lifecycle Management and other internal platforms to ensure accurate communication across systems
  • Conduct contract quality reviews to ensure alignment with company policies and legal requirements
  • Meet contract review turnaround times and service-level expectations.
  • Assist in maintaining Owner/Architect and Subconsultant procurement records, ensuring compliance.
  • Prepare and manage Requests for Proposals (RFPs), as needed.
  • Monitor and optimize system utilization to ensure scalability, data integrity, and reporting accuracy.
  • Assist with drafting and finalizing AIA contract documents and amendments.
  • Support execution of special projects and department needs, as required.

QUALIFICATIONS & SKILLS

  • Bachelor’s degree and at least five (5) years of experience in a corporate contracts position is required. Prior AEC industry experience is strongly preferred.
  • Demonstrated ability to make sound, high-quality decisions by evaluating contract risks, identifying gaps, inconsistencies, compliance issues and determining appropriate next steps with confidence and consistency.
  • Comfortable leading meetings, including facilitating trainings and guiding discussions to support effective communication of processes and expectations.
  • Highly organized with the ability to manage multiple priorities and meet deadlines, without sacrificing quality or skipping required steps.
  • Comfortable serving as a point of escalation and as a subject matter resource for workflow questions, process issues, and basic software troubleshooting.
  • Exceptional collaboration skills and willingness to assist team members, across all departmental needs.
  • Track record of building rapport and working efficiently across departments, at all levels.

BENEFITS

This role offers competitive compensation and is eligible for participation in our comprehensive benefits programs including:
