Job Summary

U Career Success seeks an Events Manager who will serve as the primary planner, coordinator, and subject matter expert for career-related events and experiences across the University of Utah. This position is responsible for designing and executing high-quality events that connect students with career opportunities while delivering exceptional experiences for employer partners, students, alumni, and campus stakeholders.

Working closely with U Career Success leadership and campus partners, the Events Manager provides expertise and recommendations regarding event formats, participant experiences, operational improvements, and emerging opportunities. This position assesses event outcomes, identifies gaps in programming, and champions enhancements that support departmental goals and student success while aligning with broader organizational priorities.

The Events Manager oversees all aspects of event logistics and operations, ensuring seamless execution and exceptional customer service. As a visible representative of U Career Success, this role helps strengthen the department's reputation through professional, welcoming, and impactful event experiences.

This position works as part of a collaborative and creative team that values innovation, communication, and service excellence.

Responsibilities

  • Lead the planning and execution of large career fairs, tailored expos, recruiting events, and special programs each semester, ensuring seamless delivery and exceptional participant experiences.
  • Serve as the primary project manager for all event logistics, including venue coordination, catering, technology, registration processes, payment processing, staffing, vendor management, signage, accessibility considerations, and day-of operations.
  • Act as a brand ambassador for U Career Success, creating welcoming, professional, and engaging experiences that strengthen relationships with students, employers, alumni, faculty, and campus partners.
  • Partner with U Career Success leadership, academic colleges, departments, and student organizations to assess student populations' unique career development needs, evaluate event opportunities, and recommend programming that supports departmental priorities and student success.
  • Collect, analyze, and report event participation, satisfaction, and outcome data to assess effectiveness, identify gaps in programming, and inform future event planning and decision-making.
  • Manage event-related budgets, financial projections, receivables, payables, and vendor contracts while ensuring responsible stewardship of departmental resources.
  • Oversee event management systems and platforms, including Handshake event registration, employer payments, event communications, and on-campus recruiting logistics.
  • Coordinate services with campus and external partners, including catering, facilities, parking and commuter services, security, technology services, and other vendors necessary for successful event execution.
  • Collaborate closely with Corporate & Community Engagement, Career Coaching, Marketing, and Operations teams to ensure event execution aligns with departmental goals and provides a seamless, holistic experience for students and employer partners.
  • Ensure compliance with university policies, procedures, and risk management requirements related to events and programs.
  • Deliver exceptional customer service to both internal and external stakeholders, serving as a trusted partner to students, employer partners, alumni, faculty, staff, vendors, and campus collaborators. Foster positive relationships through responsive communication, attention to detail, professionalism, and a commitment to creating outstanding event experiences.
  • Collaborate closely with the Events & Operations team to ensure alignment of priorities, resources, timelines, and processes. Contribute to a culture of teamwork, shared accountability, and continuous improvement while supporting departmental initiatives and helping ensure operational excellence across all U Career Success programs and services.

Minimum Qualifications

Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience

Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.
