Responsibilities
DESCRIPTION: The Coordinator, Arts, Humanities & Communication responsible for coordinating and providing administrative and operational functions of the department to ensure efficient daily operations. This role assists with budget monitoring, purchasing, payroll and personnel records, academic scheduling, and contract processing. The position also coordinates departmental resources, facilities, and asset management, while handling daily office operations such as supplies, travel, meetings, and event scheduling to ensure efficient department functioning.ESSENTIAL FUNCTIONS:1. Assists in the development and monitoring of departmental budgets, including account coding, historical expenditure analysis, and budget forecasting.2. Develops and maintains systems for tracking departmental budgets, including vendor issue resolution, financial record maintenance, and recommendations for optimal allocation of funds and resources.3. Coordinates academic scheduling processes, including schedule construction and textbook/resource assignments.4. Maintains accurate employee attendance, leave, and payroll records to support timely and accurate payroll submission for the department.5. Processes requisitions and establishes blanket purchase orders for departmental budgets, supplies, equipment, and promotional materials in accordance with institutional procedures.6. Facilitates the processing and tracking of licensing and contractual agreements.7. Serves as liaison with auxiliary services for the scheduling and coordination of performance and gallery space rentals.8. Manages departmental assets, including office equipment, art collections, instrument inventories, and music library resources; coordinates routine and emergency maintenance, inspection, and repair.9. Coordinates maintenance and operational support for building systems and office infrastructure, ensuring functionality of Wi-Fi, keyless entry systems, HVAC, and other facility-related technologies and services.10. Provides administrative and program support to the department, coordinating office operations including supply management, travel arrangements, meeting documentation, and the scheduling of appointments, meetings, and events.11. Performs other duties as may be required or assigned.REQUIRED QUALIFICATIONS:1. Graduation from an accredited high school or possession of an acceptable equivalency diploma.2. Two years of bookkeeping or administrative support experience. DESIRED QUALIFICATIONS:1. Associate's degree from a regionally or nationally accredited institution. KNOWLEDGE, SKILLS & ABILITIES: 1. Knowledge of and ability to interpret applicable College policies and procedures.2. Ability to understand the organization and programs of the College. 3. Excellent organizational skills and attention to detail. 4. Ability to initiate, plan, and monitor projects.5. Ability to exercise limited independent judgment in completing tasks.6. Ability to work collaboratively in a team environment.7. Ability to meet deadlines and work in a fast-paced multi-priority environment.8. Strong Microsoft Office skills (Outlook, Word, PowerPoint, Excel) and the ability to become proficient in videoconferencing applications, including Teams/Zoom and awareness of Adobe Applications.9. Excellent written, verbal, and interpersonal communication skills.10. Ability to work collaboratively with diverse groups, including faculty, staff, students, alumni, and community members.11. Ability to exhibit a professional, courteous demeanor12. Committed to working in a multicultural environment.13. Ability to treat confidential information with sensitivity, integrity, and discretion.WORK ENVIRONMENT and SPECIAL CONSIDERATIONS:1. Works in an office environment.2. Frequently work flexible hours, including evenings and occasional weekends. 3.
