Position Description

The Coordinator, Business and Professional Services delivers standardized, high quality academic operational support that advances the college's strategy. As a dependable partner to academic leaders, faculty, and internal service offices, the role manages assigned workflows from intake through completion with clear communication, accurate documentation, and strong follow through. This position reinforces a one college service model by applying established procedures, maintaining transparent tracking, and ensuring consistent service levels across multiple divisions and campuses. The role protects faculty and instructional leadership time by reducing operational friction, escalating exceptions appropriately, documenting decisions, and keeping work moving to closure while maintaining reliable availability during core service hours and peak periods to sustain continuity and accountability.

Responsibilities and Duties (*Essential Functions)

  • Receive and triage requests from Program Directors and Department Heads, confirming scope, owners, required inputs, and timelines
  • Onboard new and existing Program Directors and faculty to the Business and Professional Services Department
  • Train academic division partners on ticket submission, required documentation, timelines, and escalation paths to ensure clean handoffs and fewer delays
  • Gather planning information from academic leaders and update required data, milestones, and status notes in the tracking and ticketing system

Request, collect, and organize required documentation from program teams such as, Program Directors and Department Heads and partner offices such as Registrar, Human Resources, Business Services, Financial Services and Information Technology

Review submissions for accuracy, completeness, and compliance in coordination with academic division and compliance partners, resolving gaps before routing forward

Submit validated official records and supporting documentation from academic divisions to ensure consistency, traceability, and audit readiness in support of compliance for the Registrar office

Support contract routing for academic divisions by ensuring required attachments, approvals, and documentation are complete and properly recorded for payroll processing

Coordinate Workforce Development course visitations of faculty for institutional reporting to the Board of Trustees

Communicate requirements, status, and next steps to Program Directors, Department Heads, faculty, and service offices, setting clear expectations and ensuring timely follow-through

Escalate unclear requirements and exception requests to academic decision-makers, document decisions, and return work to execution timely

Maintain disciplined ticket updates and reporting for leadership and partner offices to ensure transparency, accountability, and on-time completion

Provide dependable availability to academic divisions and administrative partner offices during core service hours and remain responsive during peak workload periods

Provide backup coverage for Business and Professional Services staff to sustain continuity of service, during absences, and peak periods, including payroll processing, compliance for audit-readiness, course start-date and end-date cycles

Qualifications

Knowledge, Skills & Abilities

Strong organizational skills and ability to manage multiple deadlines across academic and administrative divisions

Strong written communication and professional service skills with Program Directors, faculty, and partner offices

Ability to verify documentation, keep accurate records, and support compliance and audit-readiness

Ability to work effectively in a shared team environment using shared channels (e.g., email and Microsoft Teams)

Sound judgment and discretion; handles sensitive information appropriately

Requirements

Associate degree in a related field (or equivalent combination of education and experience)

Two years experience in administrative coordination

Must be available evenings and occasional weekends during peak periods

Preferences

Experience supporting course operations and faculty administrative support processes in a community college setting

Experience working with structured intake/tracking tools and documentation expectations
