Position Summary

Under general supervision, the Coordinator of Campus Enterprises coordinates the daily operations of the College Bookstore, Print Shop, Shipping and Receiving, and food and beverage vending services. The position promotes efficient service delivery, fiscal accountability, and high-quality support for students, employees, and community stakeholders.

The Coordinator collaborates across departments, maintains relationships with vendors and service providers, and supports the administration of contracts related to Campus Enterprises operations. The Coordinator manages routine day-to-day operations in accordance with established College policies, procedures, and approved budgets. Matters requiring contract approval, policy decisions, or significant financial commitments are referred to the supervisor.

The Coordinator exercises no direct supervision of staff and reports to the Chief Financial Officer.

Essential Duties and Responsibilities

Bookstore

  • Coordinate the day-to-day operations of the College Bookstore, including sales, purchasing, pricing, receiving, inventory control, merchandising, and stocking, in accordance with established academic, registration, and purchasing deadlines.
  • Establish bookstore operating hours in coordination with the supervisor and maintain a consistent work schedule aligned with those hours and the bookstore's operational needs.
  • Open and close the bookstore; perform point-of-sale duties as needed; process transactions, returns, and authorized charges; calculate daily receipts; and prepare associated reports and logs.
  • Provide responsive customer service to students, faculty, staff, and the public regarding purchases, returns, course materials, and other bookstore matters.
  • Coordinate and process orders for textbooks, course materials, instructional supplies, program kits, and other required items for curriculum and continuing education courses. Confirm course needs and quantities with the appropriate faculty or departments, monitor order fulfillment, and ensure required materials are available within established registration and course-start deadlines.
  • Verify incoming textbook, course-material, and supply shipments; investigate discrepancies, shortages, or damages; coordinate necessary corrections with vendors; and conduct annual physical inventories.
  • Maintain relationships with publishers, distributors, suppliers, and other bookstore vendors; serve as the primary point of contact for routine vendor communications; and refer contractual, financial, or other matters requiring authorization to the supervisor.
  • Coordinate with the third-party digital textbook vendor and online campus store. Verify the accuracy of digital textbook titles, editions, course assignments, and access information, and communicate discrepancies to the vendor and appropriate division chairs.
  • Make purchasing decisions for textbooks, course materials, and supplies within approved budgets, College purchasing procedures, and delegated authority, with consideration for availability and cost-effectiveness.
  • Identify opportunities to improve bookstore services or operations; recommend enhancements to the supervisor and implement approved changes.
  • Coordinate food and beverage vending services in accordance with campus operating schedules, closures, and special events; serve as the primary contact for routine service requests and issues; and assist the supervisor with administration of related vendor contracts.
  • Review bookstore policies and procedures annually and recommend appropriate updates to the supervisor.

Print Shop

  • Manage the day-to-day use of the MCC Print Shop ticketing support portal to receive, review, prioritize, track, and process print and copy work orders from College departments; determine the appropriate production method based on job specifications, available resources, and requested timelines; update job statuses; communicate with requestors; and maintain accurate ticket records.
  • Coordinate with Marketing personnel and requestors regarding layout, design specifications, production requirements, and timelines.
  • Operate high-volume printing and finishing equipment, including digital printers, copiers, cutters, binders, folders, laminators, dry-mount presses, and padding presses.
  • Assemble, collate, cut, fold, staple, bind, mount, and laminate materials, ensuring completed products are accurate and meet established quality standards.
  • Prepare and produce official College materials, including business cards, brochures, letterhead, catalogs, and Foundation publications.
  • Notify departments when jobs are complete and coordinate the delivery or pickup of finished materials.
  • Maintain accurate records of completed jobs, copy counts, billing information, and Print Shop usage; prepare and submit related reports and documentation as required.
  • Monitor campus photocopiers and Print Shop equipment, perform basic troubleshooting, report equipment issues, coordinate authorized service or repairs, and confirm proper functionality following service.
  • Monitor inventory levels and reorder toner, ink, paper, and finishing materials; coordinate bulk-paper deliveries; and assist the supervisor with supply management and budget projections.
  • Stay informed about developments in print-production technology and software to support efficient and modern Print Shop operations.

Shipping and Receiving

  • Receive, inspect, and verify incoming packages and shipments, excluding large freight, against packing slips, purchase orders, invoices, and other receiving documentation in accordance with College procedures and applicable State Board Code requirements.
  • Coordinate the timely delivery of received packages and materials to the appropriate campus locations and submit required receiving documentation to the Business Office.
  • Prepare and package outgoing shipments using appropriate labeling, documentation, handling, and carrier requirements.
  • Process incoming and outgoing mail, research returned mail, and maintain centralized campus mailroom boxes.
  • Organize and store received items in designated areas to ensure proper handling, security, and accessibility.
  • Maintain accurate records of shipments, deliveries, and inventory movements.
  • Communicate with carriers, vendors, and College departments and assist in resolving routine discrepancies among invoices, packing slips, purchase orders, and delivered items.
  • Operate material-handling equipment as needed, when appropriately trained and authorized, and maintain a clean, safe, and orderly shipping and receiving area.
  • Coordinate with the supervisor to develop and maintain a coverage schedule for Shipping and Receiving during extended planned absences, using employees identified and approved to perform those functions; communicate the schedule and applicable procedures in advance.

Other Important Duties and Responsibilities

  • Participate in the development and implementation of Campus Enterprises goals, objectives, priorities, policies, and procedures, and recommend revisions as appropriate.
  • Follow applicable OSHA requirements, College safety procedures, and manufacturer instructions for equipment operation and materials handling.
  • Maintain clean, organized, safe, and efficient work areas while ensuring high-quality service and adherence to established deadlines.

Education/Experience Qualifications

Required:

  • High school diploma or equivalent.
  • Minimum of three (3) years of experience in retail, customer service, printing, shipping and receiving, or related operations.
  • Experience with digital printing, graphic design, Microsoft Office applications (including Publisher), and Adobe Creative Suite.
  • Strong organizational, recordkeeping, and problem-solving skills.
  • Demonstrated ability to work both collaboratively and independently.

Preferred:

  • Associate degree in graphic arts, business administration, retail management, logistics, media, or a closely related field from a regionally accredited institution.
  • Experience in a higher education environment.

Additional Requirements/Supplemental Information

  • Possession of and ability to maintain a valid drivers license.
  • Must be able to work an adjusted or extended schedule during peak academic periods to accommodate registration cycles, course-start dates, and extended Bookstore operating hours.
  • May be required to report to campus during designated holiday periods or other planned campus closures to perform time-sensitive Shipping and Receiving responsibilities.
  • When designated and in accordance with College adverse-weather and emergency-closure procedures, may be required to report to campus to perform time-sensitive Shipping and Receiving responsibilities, subject to supervisory authorization and conditions permitting safe travel.
