The coordinator’s main responsibility will be to provide day-to-day support to the Creative Services team. This role requires someone who is focused, well organized, creative, and able to continually prioritize as well as balance multiple projects. The coordinator will assist with full time website maintenance and content updates, marketing materials, proofing and archiving as well as conceptualizing and brainstorming. You will work onsite before and during the festivals with the CS team. This position requires experience with creative and web workflow processes, routing creative and web materials for feedback, driving projects to completion and a keen eye for details and proofing. The ideal candidate has at least one year of experience as a creative coordinator with knowledge in websites, although entry level with a great attitude and strong work ethic will definitely be considered.

Here’s what you’ll do:

  • OVERVIEW: Provide overall support to the Creative Services department including but not limited to: maintaining and updating our websites on a daily basis (and learning our Content Management Systems), proofing, brainstorming ideas and general administrative support, light design and photo archiving assistance
  • Assist in managing mailer schedule and collecting assets (copy, images, links) for each mailer from various departments and proofing
  • Assist with overseeing testing, feedback, approval and blasting of company mailers
  • Assist with marketing assets and distribution
  • Content collection and entry, heavy proofing and streamlining feedback for all festival websites, marketing materials, guidebooks and mobile apps
  • Content and assets collection for festival lineup announcements
  • Manage festival photo archives (in Portfolio)
  • Source photos as needed for other departments and external use
  • Assist as needed with shot lists, advancing the database needs and being an onsite liaison to photographers and the CS team
  • Assist the CS team with festival mobile applications by way of content management, content entry, testing of apps and streamlining feedback
  • Provide input and production support on festival merch
  • Oversee media uploads during festivals (photo + publicity pages), website maintenance through the duration of events, and annual website archiving
  • Managing contracts for all projects and reconciling budgets ensuring all bills paid at the end of each project and providing project recap to the team.
  • Responsible for Google Analytics accounts and assisting the team in getting data as needed
  • Assist in overseeing interns for the CS team

  • Computer skills - we’re talking Word, Excel, PowerPoint, Google Apps for business, you must have experience in Adobe Creative Suite (AI and PSD), bonus if you are experienced in website back ends (CMS) specifically Drupal and Wordpress. Portfolio, and project software such as Basecamp and Asana and/or basic online services like Mail Chimp
  • You are overall web savvy and in-the-know when it comes to current technology, ideally with a good eye for design and strong user experience
  • Excellent organizational skills, you are hard working and able to take direction and prioritize while juggling multiple projects at once in a fast-paced, deadline-driven environment

Your experience:

  • 1 – 2 years of coordinator/assistant experience working in digital, marketing, social media, festivals, tech and/or design
  • College degree preferred with studies in communications, marketing, web design and development
  • Proficient in the Adobe Creative Suite (AI & PSD), experienceor willingness to learn our CMS(Drupal, Wordpress), ease with updating social sites (Facebook, Instagram, Twitter, G+, Tumblr).
  • Demonstrated ability to effectively proof written and visual materials
