    The Technology Alliance is seeking a highly organized and service-oriented Coordinator, Events and Programs to help deliver the events, programs, and experiences that connect Washington's innovation community. This is a part-time position working 20 hours per week.

    This role is ideal for someone who enjoys bringing people together, managing details behind the scenes, and creating exceptional experiences for attendees, sponsors, speakers, and partners. You will play an important role in supporting technology, policy, and community events.

    The successful candidate is proactive, detail-oriented, and thrives in a fast-paced environment where priorities can shift and no two days are exactly the same. This role offers exposure to Washington's technology ecosystem, industry leaders, entrepreneurs, policymakers, and community partners.

    Position Summary
    Coordinator, Events and Programs provides structured support for TA events and programs, with a primary focus on event logistics, registration support, scheduling, data tracking, attendee communications, and consistent execution of established event processes as well as some administrative support for the CEO. This role works within established guidelines and partners closely with our program managers to support a high-quality sponsor, attendee, and speaker experience.
     
    What You'll Do
    Events Coordination and Administrative Support
    • Coordinate recurring Technology Alliance event and program logistics, including scheduling, materials, vendor and speaker communications, registration details, sponsorship support, in-kind contribution tracking, and day-of execution support under established guidelines and direction.
      • Primary support: Discovery Series, Policy Matters Conference, Entrepreneurial Climate Summit. State of Technology Luncheon, and legislative dinners.
      • Support additional and ad hoc events as needed.
    • Coordinate with community partners to support event promotion, logistics, and member/employee engagement.
    • Provide administrative support (correspondence, proofreading, website updates, mailings, scheduling, and file management).
    • Support special projects and perform additional coordination, scheduling, tracking, and administrative duties as assigned.
    Registration and Attendee Experience 
    • Coordinate event registration processes, including attendee support, payment coordination, and routine troubleshooting within established procedures.
    • Track attendance, maintain registration lists, and update accurate participation data support onsite registration and event setup to help ensure a high-quality attendee experience.
    • Ensure proper registration of complimentary guests.
    Who You Are
    Qualifications:
    • 1+ year supporting events, programs, customer service, administrative coordination, scheduling, logistics, or similar recurring process work; or commensurate experience.
    • 1+ year providing administrative support at the senior manager or above level
    • Experience supporting small non-profits preferred.
    • Experience following established processes, tracking details, and supporting process improvements preferred.
    • Experience creating and maintaining tracking reports using spreadsheets; database, CRM, or registration system experience preferred.
    Technical Skills and Competencies:
    • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
    • Experience using MailChimp, Canva, and Luma preferred.
    • Experience using Claude and CoPilot preferred.
    • Ability to create and maintain accurate tracking reports, registration lists, attendance records, and event/program data.
    • Ability to support event registration processes, including attendee records, payment coordination, complimentary guest tracking, and customer support.
    • Ability to coordinate event logistics, including timelines, vendor communication, materials, setup needs, and onsite support within established procedures.
    • Ability to draft and proofread clear, accurate, and professional event-related materials, correspondence, and basic website or registration content.
    • Ability to use spreadsheets and data systems to track deadlines, participation, sponsorship information, and event/program deliverables.
    • Ability to lift and/or carry up to 25 lbs. with or without reasonable accommodation.

    • Professional verbal communication skills, including the ability to communicate clearly in group settings and support a positive attendee, member, and partner experience.
    • Reliable, quality-driven work style with a commitment to accuracy, service, and timely execution.
    Work Environment:
    This position is onsite a minimum of 2 days a week, with the possibility of remote work on 3 days.
     
    Employment Details
