Position Summary:
We have an exciting opportunity to join our team as a Coordinator, Facilities Operations - Facilities Engineering - Full Time, Days - Facility Mgt-Plant M.

In this role, the successful candidate The Coordinator, Facilities Operations is responsible for overseeing and dispatching all work orders & preventative maintenance tasks within the department. This includes coordinating and prioritizing facility maintenance and repair requests, ensuring compliance with healthcare regulations, and managing the workflow to optimize operational efficiency. The ideal candidate will have a strong background in facilities management, attention to detail, and a commitment to maintaining a safe and functional healthcare environment. This position will report to the Director of Facilities Management and will need to work with other engineering managers and all facilities engineering employees.

Job Responsibilities:

  • Oversee the intake, processing, and tracking of all maintenance and repair work orders within the facility.
  • Prioritize work orders based on urgency, clinical need, and regulatory compliance.
  • Ensure work orders are dispatched to appropriate personnel or external contractors in a timely manner.
  • Monitor the progress and completion of work orders, providing regular updates to key stakeholders.
  • Coordinate with engineering technicians, maintenance staff, and third-party vendors to ensure timely completion of tasks.
  • Dispatch work orders to the appropriate teams based on skill sets, availability, and workload balance.
  • Ensure accurate assignment of job tasks and follow up on status for high-priority work.
  • Ensure that all work orders comply with healthcare facility standards, including safety, infection control, and regulatory codes.
  • Support the department in maintaining compliance with local, state, and federal regulations, including Joint Commission and CMS guidelines.
  • Maintain accurate records of all work orders, including completed, in progress, and pending tasks.
  • Prepare weekly/monthly reports on work order status, performance metrics, and response times.
  • Provide documentation for facility audits, inspections, and internal reporting.
  • Serve as the point of contact for all external contractors involved in facility repairs and maintenance.
  • Ensure timely vendor responses and work with them to resolve any scheduling conflicts or delays.
  • Review vendor invoices with other managers to ensure accuracy before submission for payment.
  • Develop and implement best practices to streamline work order workflows and reduce response times.
  • Participate in team meetings and training sessions to enhance the performance and capabilities of the team.
  • Serve as a liaison between facility staff and the engineering team to ensure effective communication regarding work orders.
  • Address any concerns or questions from hospital staff about work orders or repairs.
  • Provide exceptional customer service by ensuring that facility requests are addressed promptly and professionally.
  • Performs other duties as requested.

Minimum Qualifications:
To qualify you must have a Bachelors degree or equivalent combination of education and experience. Minimum of 3-5 years of relevant experience in facilities operations, maintenance coordination, or related field, preferably in a healthcare setting. Experience with work order management systems is required. Strong organizational and time-management skills with the ability to prioritize tasks and manage multiple projects. Excellent verbal and written communication skills. Ability to work effectively both independently and as part of a team. Strong attention to detail and a high degree of accuracy in work order management. Problem-solving skills with the ability to quickly address issues and provide solutions. Proficient in Microsoft Office Suite (Excel, Word, Outlook).

Preferred Qualifications:
Familiarity with healthcare facility regulations, safety standards, and compliance requirements.
Experience with Maintenance Connect work order system.
