Job Description

SUMMARY:

The Fleet Management Coordinator is responsible for accurately entering, updating, and maintaining vehicle fleet data in the Fleet Maintenance Pro (FMP) system. This role ensures fleet records are current, complete, and organized to support efficient fleet operations, maintenance tracking, and reporting.

ESSENTIAL FUNCTIONS:

  • Enter, update, and maintain accurate fleet vehicle records in the Fleet Maintenance Pro (FMP) system.

  • Monitor vehicle maintenance schedules, inspections, registrations, licenses, and renewals to ensure compliance.

  • Coordinate preventive maintenance and repair appointments with vendors and internal departments.

  • Track vehicle utilization, mileage, fuel usage, and maintenance costs.

  • Maintain documentation for vehicles, including titles, insurance, warranties, and service records.

  • Generate fleet reports and assist with data analysis to support operational decisions.

  • Respond to fleet-related inquiries from drivers, managers, and vendors.

  • Ensure compliance with company policies and applicable federal, state, and local regulations.

  • Assist with vehicle acquisitions, transfers, disposals, and inventory management.

  • Perform other fleet administration and clerical duties as assigned.

QUALIFICATIONS:

High school diploma or GED is required; an associate's degree in business, logistics, or a related field is preferred. A minimum of one year of administrative, fleet, transportation, or related experience is required. Experience with Fleet Maintenance Pro (FMP) or similar fleet management software and proficiency in Microsoft Office Suite, including Excel, Word, and Outlook, are required. Candidates must demonstrate strong data entry skills, exceptional attention to detail, excellent organizational and time management abilities, and effective verbal and written communication skills. Knowledge of fleet operations and vehicle maintenance terminology is preferred. The ability to work independently, manage multiple priorities in a fast-paced environment, and maintain accurate and organized records is essential. A valid driver's license is required.
