Total Compensation

• Salary: Salary range begins at $46,000

About the Position

The Coordinator of Institutional Advancement, Events works primarily within the Alumni and Constituent Engagement (ACE) department and plays a pivotal role in advancing the mission of Haverford College by contributing to our events and engagement efforts for alumni, parents, and friends of Haverford. This role supports the planning, coordination, execution, and evaluation of a wide range of events and engagement initiatives throughout the year. Additionally, this individual works closely with ACE colleagues to support communications, operations, and database management, while contributing to a positive and effective constituent experience across the lifecycle.

Primary Responsibilities

Event Management

• Support on-campus, regional, virtual, and volunteer-led events for IAE, ensuring seamless execution and maintaining a high standard of excellence and hospitality in collaboration with internal teams and external vendors
• Manage logistics and production support for virtual programming across IAE
• Build and manage event marketing plans in collaboration with colleagues across IAE and Communications, including leading the survey administration for events
• Serve as a primary point of contact for event-related communications, including guest correspondence, ensuring all event information is accurate, timely, and aligned with institutional messaging
• Maintain cross-departmental internal event calendars and event planning management resources
• Partner with colleagues to support quality data control and institute data management best practices in Raiser's Edge, Emma, AlumniQ, and Workday ensuring accuracy and consistency across event records and constituent data
• Provide accurate and comprehensive event statistics and reports on a regular basis

Alumni and Constituent Engagement Operation Support

• Ensure accurate and timely entry of constituent interactions, event participation, and other activities into the College's CRM system (Raiser's Edge)
• Collaborate with other Coordinators on office needs, processes, and workflow improvements
• Provide administrative support to teams including but not limited to scheduling, meeting preparation, travel coordination, expense reconciliation, and inventory management
• Maintain inventory of event supplies and materials for Alumni and Constituent Engagement, including event assets, signage, nametags, and giveaway materials; coordinate purchasing and procurement as needed
• Process invoices and financial documentation, including vendor payments, reimbursements for volunteers and external partners, and other related financial tracking

Additional Responsibilities

• Represent IAE at events, engaging with important constituents such as alumni, donors, parents, and leadership volunteers
• Provide support and coverage for other coordinators and team members across IAE as needed, contributing to a collaborative team environment and ensuring seamless execution of departmental priorities
• Manage student workers within the ACE department including providing guidance, training, and support
• Undertake any other duties as assigned, contributing to the overall success of the IAE division and Haverford

Line of Report: The Coordinator of Institutional Advancement, Events reports to the Director of Special Events and supports the Director of Alumni and Constituent Engagement and Director of Volunteer Leadership Strategy.

Minimum Qualifications

One of the following:

• Bachelor's degree and two (2) years of experience in an administrative, coordination, or project support role, or
• 6 years of experience in an administrative, coordination, or project support role

Professional Competencies

• Demonstrated ability to manage multiple priorities with strong attention to detail
• Effective written and verbal communication skills
• Ability to handle sensitive and confidential information with discretion
• Proficiency with Microsoft Office and Google Workspace with the ability to learn new technology systems quickly
• Familiarity with Raiser's Edge or similar CRM systems
• Experience supporting events, donor communications, and/or stewardship initiatives
• An adaptable, solutions-driven approach with a commitment to responsive and thoughtful service
