Position Summary

As a member of a dynamic student-centered team, the Coordinator of Tutoring Services supports the mission of the College by fostering an inclusive and equitable environment for all students. This position provides administrative, operational, and programmatic support for the Tutoring Center during the academic year while interacting regularly with students, faculty, and staff. The successful candidate will manage daily office operations; support the student employee hiring and payroll processes; and ensure the accuracy and timeliness of routine and specialized projects. This role is essential to supporting the smooth functioning of Tutoring Services and maintaining a welcoming, student-centered environment. Please note: This is a 10-month academic year position.

The Tutoring Services team is a part of the Navigation Center for Student Success at Stonehill College. Comprised of five offices (Advising, Accessibility, Career, Global, & Tutoring), the Navigation Center works collaboratively with faculty, staff, and students to accomplish mission-driven goals. The team devotes attention to the inclusive nature of the Stonehill community and celebrates diversity and promotes equity and inclusion in all its endeavors.

Essential Duties and Responsibilities

Administrative & Office Operations

  • Serve as the primary point of contact for Tutoring Services; provide information regarding center policies, procedures, and available resources.
  • Manage day-to-day office operations, including maintaining supplies, coordinating service calls, and ensuring a professional and accessible physical space.
  • Monitor and manage the Tutoring Services email account; respond to inquiries or route requests as appropriate.
  • Maintain digital platforms (e.g., MyHill pages, shared drives) and update office procedure documentation.
  • Preserve confidentiality and handle sensitive information with discretion, in compliance with FERPA and Title IX requirements.
  • Provide hospitable, student-centered service to all visitors.

TutorTrac & Data Management

  • Manage the TutorTrac scheduling and reporting system, including semester rollover, session scheduling, updates, and data maintenance.
  • Produce routine and ad hoc statistical reports such as Payroll Usage Reports, Budget Projections, Appointment Status Reports, referral data, survey results, and semester scheduling summaries.
  • Support data collection, tracking, and analysis for monthly and semester reporting needs.

Student Employee Hiring & Payroll Support

  • Support the full student-employee lifecycle, including recruitment, documentation, onboarding, I-9 verification, FERPA verification, and employment eligibility checks.
  • Coordinate student worker payroll processing and maintain accurate records related to hours, work awards, and budget tracking.
  • Assist student employees with scheduling, appointment conflicts, and general employment questions.
  • Maintain student employee lists and Banner coding each semester.

Scheduling & Communications

  • Coordinate all center schedules, including semester tutoring schedules, front-desk staffing, and training calendars.
  • Assist with center outreach, including student email communications and creation/distribution of digital or physical announcements.
  • Support social media content development and posting.

Training & Program Support

  • Support front-desk and student employee training processes.
  • Assist with updates to the Tutor and Front Desk handbooks and annual policy revisions.
  • Support planning and execution of student employee events, including orientation sessions and end-of-year recognition activities.

Fiscal & Administrative Processing

  • Process monthly expenses, including P-Cards, purchase orders, check requisitions, and travel reimbursements.
  • Maintain office memberships, subscriptions, passwords, and associated documentation.
  • Coordinate with external vendors and service providers as needed.

Additional Responsibilities

  • Foster a welcoming, inclusive campus culture in alignment with the College's mission.
  • Perform other duties as assigned.

Education and/or Experience

Required

  • 5+ years of administrative assistant, office management, or equivalent experience.
  • Proficiency with Microsoft Office Suite and comfort learning new software systems.
  • Ability to communicate effectively with students, faculty, and staff.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Demonstrated commitment to confidentiality and discretion.

Preferred

  • Experience working in a higher-education, tutoring, or academic support environment.
  • Familiarity with systems such as TutorTrac, PeopleAdmin, Live25, Canva, MyHill, or similar platforms.

While performing the duties of this Job, the employee is regularly required to talk or hear. The employee is frequently required to walk, sit, and use their hands to finger, handle, or feel. The employee is occasionally required to stand and reach with hands and arms.

Work Environment

While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually quiet.
