Coordinator Research Data - Head & Neck Surgery

The Surgery division at MD Anderson Cancer Center is dedicated to advancing oncologic surgery in the nation and the world through safe, high-quality, multidisciplinary patient care, research and education. The division is made up of 10 specialized academic departments and includes surgeons, advanced practice providers, researchers and our administrative teams. We work closely with our partners across the institution, particularly those in Perioperative Services, and Anesthesiology, Critical Care and Pain Medicine as well as through our committees to make improvements to our operating room processes to provide even better care for our patients.

The Clinical Research Data Coordinator supports Head & Neck clinical research activities by ensuring accurate data collection, management, and reporting for clinical studies. The Clinical Research Data Coordinator works closely with investigators, research staff, healthcare providers, and patients to support protocol compliance and study operations. The Clinical Research Data Coordinator plays a critical role in maintaining data integrity, coordinating study-related activities, and contributing to the successful execution of clinical trials at UT MD Anderson.

The ideal candidate will have experience in patient-facing roles and possess strong communication and interpersonal skills with the ability to build trust while managing sensitive information. Preferred qualifications include a Bachelor's Degree, knowledge of research protocols, data collection methods, and human subjects research, strong organizational and multitasking abilities, and proficiency with data management software, electronic medical records systems, and clinical research databases. Experience supporting clinical research studies and collaborating with healthcare professionals is highly desirable.

Salary: Minimum $44,000.00, Midpoint $55,000.00, Maximum $66,000.00

Work Schedule: 8:00 AM -5:00 PM, M-F

Key Responsibilities

Data Management • Abstract and collect patient data from electronic health records and other relevant source documents

• Ensure high-quality data management through receipt tracking, quality assurance review, data entry, and query generation for missing or incorrect data
• Perform ongoing and concurrent data reviews to ensure completeness and accuracy and resolve omissions or inconsistencies promptly
• Assist with database coordination, development, and maintenance for studies utilizing institutional databases
• Develop and maintain systems to control data flow, including spreadsheets and tracking tools for non-database data
• Provide data for study progress reports, patient safety reports, IRB continuing reviews, and IND reports
• Create accrual and toxicity reports and assist with protocol data compilation for statistical review and manuscript submission
• Utilize institutional systems including OnCore, OneIRB, and Epic to obtain and verify patient and protocol information
• Record protocol deviations in deviation logs according to sponsor and governing entity requirements
• Participate in sponsor-required reporting activities, including monthly, quarterly, semiannual, and annual reports

Clinical Trials Coordination • Proactively screen potential patients for participation in head and neck clinical trials

• Consult with principal investigators and research personnel regarding ongoing studies and report relevant study information appropriately
• Participate in protocol site initiation meetings, logistics meetings, departmental meetings, institutional research meetings, and approved conferences
• Process protocol-specific shipment requests for study materials, supplies, specimens, and investigational agents
• Coordinate and communicate with research staff to identify and resolve study-related issues, including missing source documentation, adverse event reporting, and protocol deviations or violations
• Develop templates and processes that support complete and accurate data capture
• Communicate study timelines and upcoming deadlines to research staff to ensure timely completion of data requirements

Administrative Activities • Maintain professional expertise through institutional and external educational programs regarding research regulations and policies

• Track and manage protocol documentation and essential study documents in accordance with sponsor and institutional requirements
• Demonstrate effective written and verbal communication with institutions, sponsoring agencies, pharmaceutical companies, and regulatory organizations
• Coordinate and participate in monitoring visits, audits, and study reviews to ensure compliance and achievement of objectives
• Assist with protocol audits and participate in on-site audit activities
• Design, implement, and report on project activities and project status updates
• Maintain adequate supplies for research record storage and management
• Prepare terminated clinical trials for warehousing and record retention

General Responsibilities • Follow national, state, institutional, departmental, and sponsor guidelines while completing daily work assignments

• Support special projects assigned by the Clinical Research Manager and Principal Investigator
• Collaborate with multidisciplinary teams to ensure study objectives and compliance requirements are achieved
• Perform other duties as assigned

EDUCATION

• Required: High School Diploma or Equivalent
• Preferred: Bachelor's Degree

WORK EXPERIENCE

• Required: 2 years Related experience or

No experience required with preferred degree.

• Preferred: A solid understanding of research protocols, data collection methods, and human subjects research
