Our Operations team is seeking to hire a Retirement Services Coordinator. This position will provide front-line and operational process support to Financial Advisors, Employers, and IRA/QRP owners. This is an in-person role that requires reporting to our Pasadena Headquarters daily for training, then hybrid 3 days a week thereafter.
Responsibilities include but are not limited to:
Deliver exceptional customer service by responding promptly and professionally to inquiries while consistently exceeding client expectations
Serve as a technical and operational resource for branch offices, offering guidance on retirement account policies, procedures, and transactions
Research and resolve client and Financial Advisor inquiries related to retirement products, services, and account activity
Receive, review, and process IRA and Qualified Retirement Plan (QRP) contributions, distributions, rollovers, transfers, and related requests
Process specialized retirement transactions, including excess contribution removals, Roth conversions, recharacterizations, and other retirement account maintenance activities
Review daily retirement transaction reports to ensure accurate processing, proper IRS coding, and compliance with applicable regulations and internal policies
Collaborate with Financial Advisors to establish and maintain SEP IRA and SIMPLE IRA plans for clients
Assist with regulatory, operational, and compliance-related projects as needed
Perform other duties and work on special projects as required
Experience and Skills
Bachelor’s degree from an accredited university preferred
Minimum of 2 years retirement services industry experience preferred
Working knowledge of Traditional, Roth, SEP and SIMPLE IRAs and QRP plans and the willingness to learn IRS rules and regulations regarding these retirement products
Knowledge of IR/QRP transaction codes as they relate to IRS tax forms, and knowledge of Microsoft Word, Excel, BETA, Phase3, Broker Insight is a plus
Strong verbal, written and interpersonal communication skills
Strong analytical, problem-solving, and critical-thinking skills
Highly organized, solution-oriented and able to multi-task and manage multiple projects and competing priorities without sacrificing accuracy or efficiency
Works independently while effectively taking direction on more complex assignments
Demonstrates respect for others through active participation in organizational and departmental initiatives
Exhibits a strong attention to detail and commitment to accuracy
