This position is contingent upon the University's continuing receipt of funds from an external source adequate to fully support the appointment.
Summary of Position
Ensures the daily function of operations and services related to the Ohio Small Business Development Center, Export Assistance Network, and APEX Accelerators, university constituents as well as client companies. Assists in the delivery of quality and effective client, student intern and grant management support. Works under general supervision and may make some work procedural decisions which do not contravene policies; generally, determines work sequences (which task comes first) within any department/divisional guidelines.
Position Information
Essential Functions and Responsibilities Manages and coordinates incoming client communications, including phone calls, correspondence, and service inquiries. Serves as the primary point of contact for client service matters, screening calls, routing them to the appropriate office staff, and maintaining operational efficiency across service delivery channel.
Provides accurate information about services offered, coordinates with relevant teams to resolve client needs, and escalates issues when necessary.
Coordinates administrative operations and social media marketing initiatives to support and execute office events and programming; Maintains data and information in Center IC (CIC) system Eventbrite registrations, Constant Contact list. Leads social media marketing campaign for department's events.
Assists leadership with all areas of grant management including processing contracts, invoices, reports, data, forms; interacts with varies campus departments, ensuring timeliness of all grant reports and proposals.
Provides administrative support to all programs such as ordering supplies, event copies and packets, signage, guest parking passes, and conference room scheduling.
Interacts with campus departments such as facilities management, information technology, travel services, procurement, payroll, and others as needed.
Coordinates and serves as program manager for all internship and graduate assistant opportunities and positions including the intern hiring applicant process, scheduling of intern tasks and workload, communicating with counselors on intern projects, and meeting regularly with interns to ensure efficient office operations.
Assists leadership with Banner System budget oversight, purchase requisitions, and travel in Concur.
Maintains social media posts and marketing under the direction of office personnel. Updates website with current events as needed.
Assists staff with any projects, events, or client support.
Maintains ongoing communication with all clients such as following up on their business activities and accomplishments, receiving feedback on assistance, following up on any inquires, and receiving economic impact reports, success stories, etc.
Coordinates daily tasks related to one or more assigned components of a department's/division's overall programs and/or services.
Regularly communicates with supervisor and other staff, including student workers, as required or needed in the completion of daily tasks in support of the department's/division's overall goals and objectives.
Prepares and maintains accurate records of daily tasks in accordance with the department's/division's (or University's) policies and procedures and assures timely communication with supervisor, staff, and students where appropriate.
Gathers data and prepares reports and other information/documentation for supervisory review?related to the department's/division's programs and/or services, or one or more assigned components thereof.
Prepares for and attends events.
Remains informed of current developments and procedures pertinent to duties; participates in staff development activities; attends meetings, conferences, and other events.
Other Functions and Responsibilities: Assists with training new hires.
Performs other duties as assigned and/or required that are within the level of responsibility for this classification at the discretion of the supervisor.
Equipment Operated: Computer and all other standard office equipment.
Work Schedule: Typically, Monday through Friday.
Primary Location: Youngstown
Supervision Exercised: May exercise supervision over student employees.

Minimum Qualifications: At least a bachelor's degree; OR at least an associate degree and two years of related and/or equivalent experience; OR a high school diploma or GED and at least four years of related and/or equivalent experience.
Preferred Qualifications: Bachelor's degree in business administration or related field. Project management experience. Lead worker experience.
Physical Requirements: In accordance with the U.S. Department of Labor physical demands strength ratings, this position will perform sedentary work.
Sedentary: work involves exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs may be defined as Sedentary when walking and standing are required only occasionally and all other Sedentary criteria are met.
