Job Description
Position Summary:
This position coordinates the daily operations of the University Warehouse by receiving, inventorying, distributing, and tracking materials and assets while ensuring accurate inventory records and providing efficient support to campus departments.
Essential Job Functions and Responsibilities: Employment duties will include, but not be limited to the following:
- Receive, inspect, and verify incoming shipments for quantity, quality, condition, and accuracy against purchase orders and receiving documentation.
- Sort, label, and store inventory items in designated warehouse locations to ensure organization and accessibility.
- Must be able to lift, carry, push & move materials weighting 20-50 lbs regularly & up to 100 lbs with assistance or appropriate equipment.
- Process inventory receipts in the Banner system and maintain accurate receiving documentation for Purchasing.
- Update and maintain inventory commodity records and warehouse stock information in Banner.
- Receive and fulfill supply requests from campus departments, including processing telephone orders and coordinating deliveries.
- Coordinate the distribution and delivery of warehouse materials, supplies, and equipment to University departments.
- Assist with maintaining accurate inventory levels through regular stock monitoring, cycle counts, and physical inventories.
- Support the Universitys asset management program by assigning property tags, tracking equipment, and maintaining asset records.
- Process departmental charge-outs for inventory items and maintain accurate transaction records.
- Assist in supervising and training student employees assigned to warehouse operations.
- Operate forklifts, pallet jacks, and other warehouse equipment safely and efficiently. Must obtain forklift certification within 90 days of employment. Stetson University will pay for the certification.
- Maintain a clean, organized, and safe warehouse environment while following University safety procedures.
- Provide courteous and effective customer service to faculty, staff, and students regarding warehouse operations and inventory needs.
- Assist the Manager of Warehouse Operations and Asset Control with daily warehouse functions and other duties as assigned.
- May be required to assist Maintenance technicians with a variety of maintenance tasks and projects as needed.
Required Knowledge, Skills, and Abilities: The Warehouse Coordinator will need:
- Knowledge of warehouse operations, inventory control, and receiving procedures.
- Knowledge of inventory management systems and computerized recordkeeping (Banner or similar ERP systems preferred).
- Knowledge of warehouse safety practices, proper material handling procedures & asset tracking
- Knowledge of electrical, plumbing, hardware, and maintenance-related supplies.
- Basic understanding of shipping, receiving, and purchasing documentation.
- Strong organizational and inventory management skills.
- Ability to accurately inspect, receive, and document shipments.
- Proficiency in operating forklifts, pallet jacks, and other warehouse equipment.
- Computer skills with the ability to enter and maintain inventory records.
- Customer service skills with the ability to interact professionally with faculty, staff, students, and vendors.
- Time management and prioritization skills to manage multiple tasks and deadlines.
- Basic mathematical skills for inventory counts, quantities, and reconciliation.
- Attention to detail and accuracy in maintaining records and processing transactions.
- Ability to lift, carry, push, and move materials weighing 20-50 pounds regularly and up to 100 pounds with assistance or appropriate equipment.
- Ability to stand, walk, bend, stoop, climb, and work in confined spaces for extended periods.
- Ability to safely operate warehouse vehicles and equipment.
- Ability to follow written and verbal instructions while working independently with minimal supervision.
- Ability to coordinate deliveries and respond to departmental supply needs in a timely manner.
- Ability to identify discrepancies in shipments and inventory records and resolve issues appropriately.
- Ability to maintain a safe, clean, and organized warehouse environment.
- Ability to maintain a valid Florida drivers license and operate University vehicles as required.
- Ability to work outside or in a Warehouse environment with little to no air conditioning.
Required Qualifications:
- High school diploma or GED required
- Functional literacy in computers
- Valid Florida Drivers License and an insurable driving record
