The CORE Scheduling Coordinator reports directly to the Senior Volunteer Coordinator (CORE) and serves on the Operations Team. This position leverages organization skills and critical thinking to aid in general clerical, administrative, and scheduling projects related to CORE Volunteers.
Job Responsibilities
Builds and maintain healthy strategic relationships with direct supervisor, personnel,volunteers and partners that would benefit department and organizational objectives
Maintains and updates assignments for CORE Volunteers
Maintains and updates calendars and agendas for CORE and team meetings.
Monitors the CORE volunteer email for reading and routing correspondence, collecting information, and managing assignments
Screens phone calls and redirects to appropriate CORE team member
Develops reports of volunteer staffing needs related to clinical operations and delivers to appropriate staff
Assesses a CORE volunteer’s qualifications and experience to determine the most appropriate CORE volunteer for a given assignment
Collaborates with Senior Volunteer Coordinator (CORE) for booking CORE travel
Ensures accurate information/updates are disseminated to CORE volunteers
Prepares correspondence and documents of scheduling processes
Answers scheduling inquiries via email and phone
Maintains accurate tracking of inventory and assists Volunteer Coordinators in disseminating CORE supplies
Assists with database management and record keeping of CORE Volunteer information
Assists with monthly volunteer Newsletter scheduling and subscriptions
Assists in distribution and record keeping of CORE Feedback Surveys
Assists in tracking project timelines
Sends out meeting reminders, confirmations, or cancellations as needed
Performs basic bookkeeping duties as needed to include expensing, reimbursing, and submitting mileage
Relies on experience and judgment to plan and accomplish goals, performing a variety of tasks as directed by the department head
Clerical and Administrative duties as indicated
Performs tasks and duties as directed by management
Job Requirements
High School Diploma or equivalent work experience
Ability to display tact, kindness, and empathy when scheduling volunteers from diverse backgrounds
Google Suite proficiency
Physical Requirements
Must be able to stand/sit for extended periods of time
Must be able to lift 20lbs
Must have a valid driver’s license and be willing to drive RAM vehicles
Must be proficient in verbal, nonverbal, and written communication skills
