Title: Corporate Governance Records Specialist

The Corporate Governance Records Specialist is responsible for organizing, reviewing, digitizing, and maintaining historical corporate governance records within the company's entity management system, GEMS. Reporting to the Manager of Corporate Governance, this role will support a large-scale records digitization initiative by converting over 50 years of physical corporate records into electronic files while ensuring accuracy, consistency, and confidentiality.
This position requires exceptional attention to detail, strong organizational skills, and the ability to exercise sound judgment when determining which records should be retained and uploaded in accordance with established guidelines. This is an onsite position requiring attendance five days per week.
Key Responsibilities:- Review, organize, and process historical corporate governance records.
- Scan and digitize paper documents for upload into the GEMS entity management system.
- Apply established document naming conventions and formatting standards prior to uploading records.
- Partner with the Manager, Corporate Governance to determine which legacy documents should be retained and uploaded versus archived or excluded.
- Upload and index electronic records into GEMS while ensuring accuracy and completeness.
- Perform high-volume data entry with a strong focus on quality and accuracy.
- Maintain strict confidentiality while handling sensitive corporate and legal documentation.
- Organize and manage approximately 75 binders of historical corporate records throughout the digitization process.
- Identify and communicate discrepancies, missing information, or document quality issues as they arise.
- Support the Corporate Governance team with additional records management and administrative tasks as needed.
Required Qualifications:- Previous experience with data entry, records management, or document control.
- Demonstrated experience handling sensitive and confidential information.
- Experience supporting Legal, Corporate Governance, Compliance, or Records Management functions.
- Exceptional attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to follow detailed processes and document retention guidelines.
- Ability to work independently while collaborating effectively with team members and leadership.
Preferred:- Experience working with document management or entity management systems (such as GEMS or similar platforms).
- Experience scanning, indexing, and organizing large volumes of records.
