We are seeking a Part-Time Office Manager to support our Chicago Corporate Office. This role is responsible for overseeing daily office operations, coordinating corporate events, and providing administrative support to the executive team. The ideal candidate is organized, detail-oriented, and enjoys working in a professional, team-focused environment.

Position Details

  • Location: Chicago Corporate Office
  • Schedule: Part-Time, 15 hours per week
  • In-Office Requirement: 4 days per week (Monday through Thursday)

Sedentary Work- Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

Job Function

Office Operations & Facilities Management

  • Manage the day-to-day administration of the corporate office.
  • Oversee mail distribution, office supply inventory, and facility maintenance needs.
  • Serve as the primary contact for building management and on-site vendors.
  • Coordinate vendor services and ensure office operations run efficiently.
  • Develop, maintain, and improve office procedures, policies, and workflows.

Event Planning & Management

  • Plan, coordinate, and execute corporate meetings, board meetings, conferences, conventions, and company events.
  • Develop and manage event budgets while ensuring cost-effective solutions.
  • Research, evaluate, and secure venues for meetings and events.
  • Solicit bids and negotiate contracts with vendors, caterers, audiovisual providers, decorators, and entertainment services.
  • Coordinate attendee registration, transportation, and lodging arrangements.
  • Create detailed event timelines and run-of-show documentation.
  • Oversee event setup and execution, managing logistics and resolving issues as they arise.
  • Conduct post-event follow-up activities, including surveys, vendor payment processing, and event performance reporting.

Executive Team Support

  • Provide administrative support to the executive team as needed.
  • Coordinate meetings, travel arrangements, and presentation materials.
  • Assist with special projects and administrative tasks that support business operations.

Required Skills

  • Strong organizational and multitasking abilities with the capacity to manage competing priorities and deadlines.
  • Excellent written and verbal communication skills with a professional and customer-focused approach.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Ability to quickly learn new software and technology tools.
  • High level of discretion and professionalism when handling confidential information.
  • Strong problem-solving skills and the ability to work independently.
  • Proven experience in a professional office environment required.
  • Prior event planning and coordination experience required.
  • High School Diploma or GED required.
  • Associate's Degree or Bachelor's Degree preferred.

Compensation Range

The anticipated compensation for this position is USD $40.00/Hr. - USD $40.00/Hr. depending on experience, qualifications, and location.
