Job Summary

We are seeking an experienced real estate portfolio administrator to support a records cleanup and digitization project, including file organization, scanning, indexing, data entry, and electronic filing. As a background, our client is one of the largest banks in the country with over 17,000 employees and more than $200 billion in assets. They offer an array of general banking services and commercial banking expertise delivering best-in-class lending, leasing and other financial services.

The ideal candidate will assist with the organization, scanning, indexing, and digitization of historical real estate files, lease documents, transaction records, title and survey files, and other department records. In addition to document imaging, the administrator will perform administrative support activities, including file reconciliation, data entry, and electronic filing to improve accessibility, compliance, and operational efficiency. Given the volume of legacy files requiring review and conversion, this work is project-based and temporary in nature, with an anticipated duration of approximately six months to complete the backlog and establish a more organized and searchable records repository.

Key Responsibilities

• Support an entity mapping project by going through real estate documents to identify that the client is the owner entity of locations of their real estate portfolio.
• Clean up the client's file folder and ensure appropriate documentation is in place confirming entity ownership.
• Review documents and identify ownership, then scan and digitize files into the shared drive and CoStar.

Required Skills

• Strong real estate background and experience with real estate closing documents.
• Experience understanding title policies and Mergers & Acquisitions documents.
• Ability to read and understand Declarations/CCRs/POAs and Vesting Deed Ownership Entity.

Preferred Skills

• Certified Paralegal or paralegal background.
