Overview:

The Corporate Relations Coordinator provides essential support to MxV Rail's community outreach, event operations, marketing and communications, and brand experience initiatives. Working under the direction of the Senior Manager - Corporate Relations, this role assists with planning, logistics, communications, social media coordination, marketing inventory, purchasing support, and relationship-building activities that strengthen MxV Rail's presence within the rail industry and local community.

This role is ideal for a detail-oriented professional seeking to grow their career in corporate relations, marketing, events, community engagement, and stakeholder communications. The coordinator plays a key role in ensuring the smooth execution of events, consistent brand representation, accurate tracking and organization of marketing resources, and positive engagement with internal and external stakeholders.

Primary Responsibilities:

  • Coordinates and helps execute community outreach programs, facility tours, corporate events, employee engagement activities, marketing campaigns, and industry conferences and exhibitions.
  • Assists with event and tour logistics, including scheduling, registration management, event platforms, vendor coordination, attendee communications, material preparation, project timelines, documentation, and onsite event support.
  • Develops, proofreads, organizes, and maintains brand-aligned marketing and communication materials across print, digital, and social media channels, ensuring messaging is accurate, consistent, and reflective of the MxV Rail brand.
  • Supports social media management and content calendar execution by creating and scheduling content, collecting photos and videos, monitoring engagement metrics, and contributing to performance reporting and continuous improvement efforts.
  • Maintains the marketing and communications calendar and coordinates incoming requests from internal stakeholders to ensure timely project execution and alignment with organizational priorities.
  • Manages marketing inventory and branded assets, including promotional items, apparel, printed collateral, signage, exhibit materials, and event supplies, while tracking inventory levels, coordinating distribution, and supporting replenishment efforts.
  • Supports budget administration and procurement activities by preparing purchase order documentation, processing invoices, tracking expenditures, obtaining vendor quotes, placing orders, and coordinating with local, regional, and national suppliers.
  • Builds and maintains positive working relationships with community partners, sponsors, vendors, and other stakeholders under the direction of the Senior Manager, Corporate Relations.
  • Prepares routine correspondence, including emails, letters, schedules, reports, and other communications in support of Marketing, Communications, and Corporate Relations initiatives.
  • Provides broad administrative and project support to the Marketing and Communications team to enhance MxV Rail's brand visibility, community engagement, stakeholder relationships, and event success.
  • Ensures that all duties and responsibilities are performed in a safe manner.
  • Perform other related duties as assigned.

Required Skills & Abilities:

  • Open to learning and living the MxV Rail values (Momentum, Insight, Teamwork, Rigor, Purpose) in all facets of the organization's work.
  • Two (2) years of professional experience supporting marketing, communications, corporate relations, community outreach, events, or related functions.
  • Interest in community outreach, events, marketing, or corporate relations.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively in a team-oriented environment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Familiarity with graphic design tools (Adobe Illustrator, Photoshop, InDesign) is a plus but not required.
  • Comfort interacting with stakeholders, partners, and event attendees.
  • Creative problem-solving skills and a willingness to learn.
  • Ability to represent MxV Rail with professionalism and enthusiasm.
  • Bachelor's degree in communications, marketing, business administration, public relations, event management, or a related field; or a combination of education and relevant professional experience equivalent to a bachelor's degree.
  • Prior internship or volunteer experience in events, outreach, marketing, or administrative support is helpful but not required.
  • MxV Rail policy requires all prospective employees to complete and pass a criminal background check (Disclosure for Consumer Reports Consent Form) and a pre-employment substance abuse screening (Applicant Consent for Drug Testing Form) as a condition of employment.

Preferred Qualifications:

  • Supporting corporate relations, community engagement, public affairs, stakeholder relations, nonprofit outreach, or similar external engagement initiatives.
  • Coordinating conferences, trade shows, corporate events, facility tours, or industry exhibitions.
  • Managing organizational social media platforms, content calendars, and digital engagement analytics.
  • Creating marketing and communication materials using Adobe Creative Suite, Canva, or comparable design software.
  • Maintaining brand standards and ensuring consistent messaging across digital, print, and event communications.
  • Overseeing promotional inventory, branded merchandise, trade show materials,
  • and other marketing assets.
  • Supporting departmental budgets, purchase orders, invoice processing, vendor partnerships, and procurement activities.
  • Utilizing customer relationship management (CRM), project management, event registration, or email marketing platforms.
  • Collecting, analyzing, and reporting marketing, events, or stakeholder engagement metrics to support decision-making.
  • Working within transportation, engineering, public safety, research, education, workforce development, STEM, nonprofit, or other technical environments.
  • Supporting executive communications, stakeholder engagement strategies, and relationship management efforts.

  • Travel: Travel will be required to support industry events and outreach, and it is estimated to be 10%.

Salary Range: $50,571 - $52,594 DOQ
