    Description

    GENERAL STATEMENT OF JOB

    At Stancil Services, accurate and reliable data is the foundation of strong operational and financial performance. The Costing Coordinator - Plumbing is responsible for supporting both costing/estimating functions and production payroll processes through accurate data entry, validation, and coordination.

    This role serves as a key support function to the Estimating Team by ensuring that labor, material, and production data are entered, verified, and maintained with a high level of accuracy and consistency. The position plays an important role in connecting field activity, payroll processing, and estimating data to ensure alignment between planned and actual costs.

    The ideal candidate is detail-oriented, organized, and eager to learn, with an interest in construction operations, data management, and career growth into estimating roles.

    ESSENTIAL JOB FUNCTIONS

    • Assist with preparation, validation, and processing of weekly piece-rate payroll data
    • Review timecards, work tickets, and production reports to ensure accuracy and completeness
    • Identify, investigate, and resolve labor reporting discrepancies in coordination with field teams
    • Maintain production piece-rate records, documentation, and audit-ready files
    • Respond to basic production piece rate-related inquiries and escalate as needed
    • Support the estimating team by maintaining BOM and piece-rate databases, including updates and version control
    • Perform data entry and validation for labor rates, material lists, and job cost information
    • Assist the estimating team with bid support, template updates, and document management
    • Help identify and flag inconsistencies between estimated and actual job costs
    • Enter, maintain, and audit data across systems (e.g., BOLT, Sage, Excel) to ensure accuracy and consistency
    • Generate and distribute basic reports related to labor production, human resources, and cost tracking
    • Ensure all data is complete, accurate, and properly documented for audit and reporting purposes
    • Communicate with field, human resources, estimating, and purchasing teams to gather, verify, and reconcile data
    • Follow up on missing or incomplete information to ensure timely processing
    • Support alignment between field production, payroll processing, and estimating inputs
    • Identify opportunities to improve data accuracy, workflows, and efficiency
    • Recommend and support implementation of process improvements and standard procedures
    • Other related duties as assigned.

    EDUCATION, EXPERIENCE AND TRAINING

    • High school diploma or equivalent required (Associate degree preferred)

    • 0-2 years of experience in:

    • Construction, payroll, data entry, or administrative support roles

    • Basic proficiency in Microsoft Excel (data entry, formatting, basic formulas)

    • Experience with ERP systems (Sage, BOLT, etc.) is a plus but not required

    • Construction or plumbing knowledge is a plus but not required

    • Requirements for the job: education, certifications, experience, etc.

    WORKING ENVIRONMENT AND CONDITIONS

    • Office-based role with frequent computer use
    • Requires sitting for extended periods with regular use of office equipment
    • Occasional interaction with field staff and operational teams
    • Requires regular use of hands to handle or work with documents, tools, and digital equipment.
    • May require occasional reaching, climbing, kneeling, or similar movements for project documentation or file access.
    • May require occasional lifting of items up to 15 pounds.

    • Software including Microsoft Office Suite, BOLT, SAGE, PDF markup programs, and other estimating tools.
