Position: Admissions Coordinator

Position Summary:
The CPHS Admissions Coordinator leads day-to-day admissions operations for graduate and professional programs, supporting recruitment, application processing, interview coordination, and matriculation. This role serves as the primary point of contact for prospective students and ensures a high-quality admissions experience through clear communication, effective event coordination, and accurate data management. The coordinator partners with internal and external stakeholders to support enrollment goals and strengthen recruitment efforts.
Essential Duties and Responsibilities:
Admissions Processing and Application Management:
Process and maintain applications utilizing CRM and centralized application systems, ensuring completeness of all required materials (e.g., transcripts, test scores, etc.).
Evaluate application materials to support interview selection and admissions decisions.
Update applicant and student data in systems, including GPA, status changes, and notes.
Review compliance requirements (e.g., background checks, screenings, immunizations, etc.).
Review background checks, substance abuse screenings, and immunizations of all incoming CPHS students, as required by the assigned program.
Recruitment and Outreach:
Represent CPHS at on-campus, off-campus, and virtual recruitment events.
Build and maintain relationships with advisors, faculty, and external partners.
Assist with undergraduate pre-health recruitment and outreach initiatives.
Develop and improvement recruitment presentations and strategies.
Events and Interview Coordination:
Plan and execute interview days, open houses, visitation events, webinars, and orientations.
Coordinate logistics and communication for applicants, faculty, student ambassadors.
Collaborate with departments to support dual-degree and program-specific events.
Student Communication and Support
Serve as primary point of contact for prospective and admitted students.
Provide timely, accurate advising on admissions requirements and processes.
Maintain communication workflows in CRM/CAS systems.
Respond to inquiries within 24 hours.
Data, Reporting and Systems:
Utilize CRM, CAS, SIS, and database systems to manage applicant and student data efficiently.
Track recruitment data and support assessment initiatives.
Submit weekly and monthly reports to leadership.
Ensure website, academic bulletin, and program pages are current.
Leadership and Administrative Support:
Supervise and coordinate student ambassadors.
Maintain training materials and admissions coordinator manual.
Participate in institutional events (e.g., White Coat, Graduation, etc.).

Education and Experience:
Bachelor's degree required, master's degree preferred.
Two years or more years of experience in admissions preferred.
Experience in CRM, SIS, MS Office, and social media marketing knowledge and skills preferred.
Experience in a higher education or non-profit sector preferred.

Proficient in standard office technologies and adaptable to learning new and emerging systems quickly.
Familiarity with Customer Relationship Management (CRM), Common Application Systems (CAS), Student Information Systems (SIS), and relational databases preferred.
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and digital communication platforms, including web, text, and chat tools.
Experience managing and maintaining social media platforms in a professional or organizational setting.
Demonstrates professionalism, discretion, and sound judgement when interacting with students, faculty, staff, leadership, and external partners.
Works effectively both independently and collaboratively in a team-oriented and diverse environment.
